Position Overview
We are seeking a highly organized, proactive, and student-focused Administrative & Placement Coordinator to join our growing team.
This role is ideal for an individual with direct experience working in an Ontario Career College (PCC) who understands the unique regulatory, administrative, and student service requirements within the private post-secondary education sector.
The successful candidate will support the day-to-day administrative operations of the college while coordinating student clinical placements and providing exceptional service throughout the student lifecycle.
Please Note: Applications will only be considered from candidates who have previous experience working in an Ontario Career College. This is an essential requirement for the position.
Key Responsibilities
Administrative Operations
- Manage front desk operations and provide exceptional customer service to students, faculty, and visitors.
- Maintain accurate student records (digital and physical) in accordance with PCC and Ministry requirements.
- Coordinate class schedules, student documentation, and internal communications.
- Prepare correspondence, reports, and administrative documents.
- Assist management with audits, inspections, and Ministry compliance documentation.
- Order office supplies and assist with general office administration.
- Support faculty with administrative and student-related documentation.
Clinical Placement Coordination
- Coordinate student clinical placements with healthcare facilities and community partners.
- Maintain professional relationships with placement sites and preceptors.
- Ensure students submit all required placement documentation, including immunizations, CPR, VSC, mask fit, and other compliance requirements.
- Track placement hours, evaluations, and required paperwork.
- Communicate with students and placement facilities regarding schedules, requirements, and placement updates.
- Maintain accurate placement records and databases.
Student Services & Admissions Support
- Respond to general student and prospective student inquiries by phone, email, and in person.
- Provide administrative support during the admissions and enrollment process when required.
- Assist students with general program information and documentation.
- Support student onboarding and orientation activities.
Compliance & Quality Assurance
- Ensure student records and documentation comply with Ontario Career College standards.
- Maintain confidentiality in accordance with PHIPA and institutional policies.
- Assist with internal reporting and quality assurance initiatives.
- Support continuous improvement of administrative and placement processes.
Qualifications Required
- Previous experience working in an Ontario Career College (PCC).
- Experience coordinating clinical placements or working with student placements is considered a strong asset.
- Excellent organizational, time management, and multitasking skills.
- Strong verbal and written communication skills.
- Professional, friendly, and student-focused approach.
- Proficiency in Microsoft Office (Word, Excel, Outlook).
- Ability to work independently and collaboratively in a fast-paced environment.
Preferred
- Knowledge of healthcare education programs and clinical placement requirements.
- Experience supporting admissions or student services is considered an asset.
