Overview
We are seeking a detail-oriented and organized Entry-Level Executive Coordinator & Treatment Coordinator for a part-time position. This role provides an excellent opportunity for individuals interested in administrative and clerical work within a healthcare or professional setting. The ideal candidate will support daily operations, manage scheduling, and assist with client communications, ensuring smooth office functions. Prior office experience and proficiency with various software tools are preferred to succeed in this role.
Responsibilities
- Manage appointment scheduling using Microsoft Outlook Calendar and Google Workspace tools
- Handle phone inquiries with professional phone etiquette, directing calls efficiently through multi-line phone systems
- Maintain accurate data entry and filing of patient or client records, ensuring confidentiality and organization
- Assist with bookkeeping tasks using QuickBooks and perform basic invoicing or billing procedures
- Support front desk operations, greeting visitors and managing check-in/check-out processes
- Proofread documents, forms, and correspondence for accuracy and clarity
- Use DocuSign for electronic document signing and management
- Perform general administrative duties such as photocopying, scanning, and organizing files
- Coordinate with team members to ensure timely completion of tasks and appointments
Qualifications
- Previous office or clerical experience preferred, including familiarity with office equipment and software tools such as Microsoft Office (Word, Excel) and Google Workspace
- Strong organizational skills with the ability to multitask efficiently in a fast-paced environment
- Excellent typing skills for data entry and document preparation
- Experience with bookkeeping or accounting software like QuickBooks is a plus
- Exceptional customer service skills with professional phone etiquette
- Attention to detail for proofreading, data accuracy, and filing procedures
- Ability to manage multiple priorities while maintaining professionalism and confidentiality
- Basic knowledge of office systems such as multi-line phones and appointment scheduling platforms
- High school diploma or equivalent required; additional administrative training is advantageous

Pay: $48,000.00-$74,000.00 per year
