Description
The incumbent will provide administrative support to all members of the Ottawa office and to the finance team. The successful candidate will play a crucial role in reviewing and issuing invoices, entering disbursements, and sending statements to customers. He/she works in collaboration with the rest of the administrative support team and responds to ad hoc requests, according to the needs of all members of the firm.
Profile required
The incumbent will have solid experience in invoice production and review in a professional business environment, ideally in the legal field. He/she must have the ability to manage a large volume of invoices and must perform tasks with great attention to detail in order to avoid errors. He/she must be meticulous to consistently deliver high-quality work. The candidate must be highly organized, with the ability to juggle several files simultaneously and follow up when necessary. The job requires a strong ability to pick up where work left off. The ideal candidate will be autonomous and have an advanced level of proficiency in both written English and French. We are looking for a candidate who is proficient in the Office suite.
Responsabilities
- Enter disbursements;
- Review draft accounts and forward them for comment;
- Produce corrected invoices and send them to customers;
- Classify correspondence;
- Transmit account statements;
- Initiate the first actions to collect overdue accounts;
- Update customer information in the accounting system;
- Complete disbursement forms;
- Write correspondence;
- Manage lawyers' expense accounts, invoices, and timesheets;
- Perform various administrative tasks as required by the firm.
Professional and personal skills
- A minimum of one (1) to three (3) years' experience in a similar position;
- Attention to detail and meticulousness;
- Organizational skills and ability to manage multiple files;
- Excellent writing and editing skills;
- Fluent in French and English;
- Proficiency in Microsoft Office suite;
- Good oral and written communication skills ;
- Knowledge of Maître software an asset.
