Our Project Enablement Office is evolving to meet the needs of our growing business and we are seeking a driven and experienced Administrative Assistant to join our team. This role will report directly to the Manager, Project Enablement Office but will provide support to the Directors and Manager’s within the Project Delivery Excellence organization as required.
The successful candidate will be accountable for the efficient coordination and execution of advanced administrative functions. Contributing to the success of the team by proactively anticipating and responding to the needs of the Directors, Managers and fellow team personnel; enabling them to focus on their core accountabilities. This is a great opportunity to leverage broad thinking and communication skills with tact, diplomacy and a sense of urgency while liaising with several stakeholders throughout the organization at multiple levels.
What you’ll do
Meeting coordination for Directors and Managers, including scheduling, logistics, documenting and assisting with prioritization of action items
Plan and coordinate departmental events, off-sites and team builds
Actively manage calendars, room bookings, and travel arrangements for Director and Managers, including supporting documentation
Own the system on-boarding process for new hires (direct and contract) on behalf of the Directors and Managers, including interview arrangements, system access requests, and first day orientation
System administrator for employee and contractor changes, and new hires
Execute on various systems and processes including travel/expense claims, timesheets, organizational changes, training, compliance, offsite events and general office planning
Complete Expense Reports on behalf of Directors and Managers, and maintain supporting documentation
Provide application assistance to team members on:
Microsoft Office, SharePoint, SAP, Access Management, LMS, SailPoint, Travel Management, WebEx, and Software Center
Assist with the department budget and inter departmental agreements in coordination with other teams in Project Delivery Excellence
Create requisitions and process vendor invoices in SAP
Prepare data/information analysis, scorecards, correspondence and presentations – and formatting/editing of same
Six (6)+ years of progressive experience in an administrative/analyst role
Post-secondary certification in administration from a recognized institution is preferred
A combination of education and experience may be considered
Advanced knowledge of Microsoft Office computer skills (Outlook, Word, Excel, PowerPoint and SharePoint)
Self-starter who learns and adapts quickly to changing demands and priorities
Energetic and professional personality that possesses tact, diplomacy, excellent interpersonal skills and works positively/effectively with others at all levels of the organization as well as external stakeholders
Passionate about taking on new challenges, solving problems and helping teammates
Experience working with senior leaders in a diverse, complex and deadline-driven environment
Strong analytical skills with financial coordination experience including budgets and forecasts
Excellent oral and written communication skills with ability to tailor delivery to suit the audience
Sound decision-making skills and judgement demonstrated by ability to work independently with little direction
Extremely organized, demonstrated initiative and time management skills
Excels in fast-paced, dynamic team where managing tight deadlines and schedules is paramount
Effective negotiation and conflict resolution skills in dealing with competing demands
Able to interpret information and follow-through to resolution of issues
Ability to exercise initiative and prioritize work to maximize efficiency
