Job Summary
We are looking for a motivated, forward-thinking Office & Operations Administrator to serve as the frontline point of contact for our customers and to keep our day-to-day office operations running smoothly. This is a fast-paced, in-office role that involves heavy interaction with both walk-in and phone customers, as well as close collaboration with our operations, safety, and dispatch teams.
The ideal candidate is highly adaptable, comfortable learning new software and systems, and able to juggle multiple responsibilities with professionalism and a smile.
Key Responsibilities
- Process and manage incoming customer transactions at the front counter
- Handle walk-in and phone customer inquiries with professionalism and efficiency
- Process front counter customer transactions and prepare associated documentation
- Answer and direct incoming phone calls; relay messages and information accurately
- Create dispatch tickets to coordinate with operations staff
- Compile and maintain operational and safety related data and statistics
- Enter supplier and operational invoices into QuickBooks
- Maintain organized filing systems (physical and digital)
- Order and track office and operational supplies
- Support integration with internal automation tools and software platforms as needed
Requirements
- Experience in an office or administrative role, ideally in an industrial or trades environment
- Forward thinking with a strong ability to adopt and navigate new programs and platforms
- Proficient in Microsoft Office (Word, Excel, Outlook)
- Experience with QuickBooks or similar accounting/invoicing software is an asset
- Strong verbal, written, and general communication skills
- Exceptional customer service skills — comfortable engaging with diverse members of the public
- Highly organized with the ability to prioritize tasks and multi-task in a busy environment
- Reliable, patient, and professional with strong attention to detail
- Ability to work under pressure and adapt to changing priorities
- Valid Class 5 driver’s licence
