Position Overview
We are seeking a positive, detail-oriented, and organized Accounting Administrator to support our office and accounting operations. This role will be responsible for Accounts Payable, Accounts Receivable, payroll processing, data entry, and general administrative support. The successful candidate will be efficient, dependable, and comfortable balancing multiple priorities in a busy office environment.
AP
- Enter payables into QBO
- Obtain approval on expenses prior to entering
- Enter credit card transactions into QBO
- Run reports for AP to ensure compliance piece (Weekly)
- Respond to vendor inquiries
- Reconcile AP statements against QBO (5th of each month)
- Ensure proper coding of invoices
- Make credit card payments in QBO/TD (as per direction from Management)
- Resolve duplicate or disputed invoices
- File, organize and monitor accounting email
- Assist in creation of Payable Runs
Process Accounts Payable transactions, including invoice entry, vendor account support, and payment preparation.
AR
- Creation of Revenue Sharing invoices (monthly/quarterly)
- Enter payments/deposits into QBO
- Work with controller to build master rate sheet for all clients
- Creation of invoices into QBO
- Submit invoices to clients
- Respond to client inquiries & build relationship
- Verify invoice accuracy; Obtain approval from proper channels
- Process credit memos/refunds
Process Accounts Receivable transactions, including customer invoicing, payment posting, and account follow-up
General Finance/Admin Duties
- Assist controller and management with creation of processes
- Train team members to allow for cross-training and coverage
- Backup for HR contracts being sent out and filing
- Digital filing of documents
- Complete accurate data entry and maintain organized records
- Owner of Receivables Tracker (Weekly Report)
- Additional General Admin duties to backup Finance & Operations Team
- Prepare and type correspondence, documents, and reports as required.
