Job Description: Inside Sales & Purchasing Coordinator
Keymay Industries Ltd. is a Private Canadian Corporation whose business is involved in the supply of specialized products and services to the pipeline and construction industries.
Role Statement
The Inside Sales & Purchasing Coordinator is responsible for supporting customer sales, processing orders, coordinating purchasing activities, and maintaining inventory availability to meet customer and operational requirements. This role serves as a key link between customers, suppliers, warehouse personnel, and internal departments to ensure efficient order management, exceptional customer service, and timely procurement of materials. Working closely with Operations, Supply Chain, and Business Development teams, the Inside Sales, Order Desk & Purchasing Coordinator contributes to customer satisfaction and the overall success of the organization.
Position Description
- Respond to customer inquiries and provide product information, pricing, quotations, and order status updates
- Process customer orders accurately and efficiently through company ERP systems
- Review order requirements, verify pricing, product availability, and delivery schedules
- Follow up on quotations and identify opportunities to increase sales and customer engagement
- Coordinate order fulfillment activities with warehouse, logistics, and operations personnel
- Resolve customer service issues, order discrepancies, returns, and product concerns in a timely manner
- Prepare sales orders, purchase orders, invoices, shipping documentation, and related records
- Source products and materials from approved suppliers while maintaining quality, cost, and delivery requirements
- Monitor inventory levels and initiate replenishment purchases to support operational demands
- Track open purchase orders and follow up with suppliers regarding deliveries and backorders
- Maintain supplier relationships and assist with evaluation of vendor performance
- Support inventory control initiatives, cycle counts, and annual inventory activities
- Maintain accurate customer, supplier, pricing, and inventory information within company systems
- Assist with continuous improvement initiatives related to sales, purchasing, inventory, and customer service processes
- Perform additional duties as required to support organizational objectives
Work Contacts
- Collaborate with Operations, Business Development, and Warehouse personnel to support customer requirements and inventory availability
- Work closely with suppliers to source materials, obtain pricing, confirm deliveries, and resolve supply issues
- Coordinate with customers regarding quotations, orders, deliveries, and product information
· Support Business Development and Sales personnel by providing job/material quotations, order management and order desk customer service
- Maintain positive working relationships with vendors, contractors, logistics providers, and industry partners
Responsible Care and Safety
- Understand, demonstrate, promote and maintain compliance with company health, safety, environmental, and operational policies (including “Safe Driving Practice”)
- Address non-compliance when observed and report serious or repeated non-compliance
- Ensures compliance with Keymay corporate policies, procedures and practices as applicable to their role within the Organization
- Duty to report any unsafe acts and conditions (vehicle, driving or workplace)
Independence of Operation
Operates with moderate supervision while exercising sound judgment in managing customer requirements, purchasing activities, and inventory replenishment decisions. Responsible for prioritizing work activities and coordinating with internal and external stakeholders to achieve operational objectives.
Work Environment
- Standard office environment with regular interaction with warehouse/yard personnel

Qualifications
- Minimum two years of experience in inside sales, customer service, purchasing, order desk, or a related distribution, industrial, or construction supply environment
- Pipeline experience would be an asset
- Experience processing sales orders, purchase orders, quotations, and inventory transactions
- Strong customer service and relationship management skills
- Proficiency with Microsoft Office applications, particularly Excel and Outlook
- ERP software experience required; Sage 300 experience considered an asset
- Strong organizational, communication, and problem-solving skills
- Ability to work independently and collaboratively within a team environment
- Must possess a Valid Driver’s License
Other Information
- This is a permanent full-time position (Monday to Friday, 8 am to 5 pm) operating from our Sherwood Park, AB office
- Position is open to candidates based in Alberta
- Wage will depend on the qualifications of the candidate
