Overview
We are seeking a detail-oriented and organized Accountant/Office Manager to oversee financial operations and manage daily office functions. This role is vital in maintaining accurate financial records, ensuring compliance, and supporting the overall efficiency of our business. The ideal candidate will possess strong accounting skills, experience with various accounting software, and excellent organizational abilities to handle multiple responsibilities effectively.
Responsibilities
- Manage full cycle accounting, processing vendor invoices and client billings monthly while maintaining strong collection practices and timely payments.
- Perform banking, bookkeeping, and month-end accounting activities, including journal entries, account reconciliations, lead schedules, financial statement preparation, cash flow reporting, cheque preparation, and electronic payment processing.
- Prepare and submit payroll remittances, GST/PST filings, and other statutory tax remittances accurately and within required deadlines.
- Process bi-weekly payroll and contractor payments, administer employee health and benefits programs, maintain payroll records, and ensure compliance with payroll legislation and company policies.
- Collaborate with external accountants by preparing financial statements, reconciliations, deposit records, and supporting documentation for reporting and audit purposes.
- Assist with human resources administration, including employee onboarding, benefits enrollment, maintaining confidential employee records, and supporting workplace policies and procedures.
- Coordinate with appraisers to manage report submissions, client requirements, deadlines, and workflow priorities in a fast-paced professional services environment.
- Coordinate daily office operations to ensure administrative, financial, and appraisal workflows are completed efficiently and in accordance with company requirements.
- Manage all administrative aspects of the office, including scheduling, document management, report formatting, inventory control, office supplies management, and responding to employee requests.
- Maintain the highest level of confidentiality, professionalism, and attention to detail while managing sensitive financial, payroll, tax, and personnel information.
Skills
- Proficiency in QuickBooks accounting software.
- Strong understanding of accounts payable, accounts receivable, and bookkeeping practices
- Experience with account reconciliation, bank reconciliation, and auditing processes
- Minimum 3 years of administrative support experience in a professional services environment
- Self-motivated with the ability to ability to lead others and work independently
- Understand the sensitive nature of working in the office, have good judgement, problem solving skills and maintain the highest levels of confidentiality and integrity
- Must be comfortable operating in a fast-paced environment
- Must have excellent written communication and interpersonal skills
- Highly organized with good time management skills
- Detail oriented
