Part-Time Receptionist / Administrative Assistant – Immigration Firm
Job Summary
We are seeking a professional, organized, and friendly Part-Time Receptionist/Administrative Assistant to join our immigration law firm. The ideal candidate will be the first point of contact for our clients and must provide exceptional customer service while supporting the daily administrative operations of the office.
The successful candidate must be fluent in both English and Farsi, with excellent speaking and writing skills in both languages. A minimum of 2 years of experience in a law firm or immigration office is required.
Key Responsibilities
- Welcome clients and visitors in a warm, professional, and courteous manner.
- Answer and manage incoming phone calls and emails in English and Farsi.
- Schedule, confirm, and manage client appointments.
- Coordinate and organize client files and documentation.
- Perform data entry, typing, filing, and general administrative duties.
- Maintain accurate records using office software and booking systems.
- Assist with document preparation and correspondence.
- Manage calendars and ensure efficient scheduling for consultants and staff.
- Keep the reception area organized and presentable at all times.
- Support the team with additional office and administrative tasks as needed.
Qualifications
- Minimum 2 years of experience in a law firm or immigration office.
- Fluent in English and Farsi (both written and spoken).
- Excellent communication and interpersonal skills.
- Strong customer service skills with a welcoming and professional attitude.
- Proficiency in Microsoft Office (Word, Excel, Outlook) and general computer applications.
- Experience with appointment booking systems and office administration.
- Fast and accurate typing and data entry skills.
- Strong organizational skills with the ability to multitask and work independently.
- Reliable, detail-oriented, and able to maintain confidentiality.
Preferred Qualifications
- Experience working in immigration services or legal administration.
- Knowledge of document management systems and office procedures.
