HR Operations Coordinator
Location: Remote US or Canada
Employment Type: Contract $8.00 - $12.00 USD per hour
Experience: Approximately 1–2 years of HR, administrative, or related professional experience
Position Summary
We are seeking a highly organized, detail-oriented, and motivated HR Operations Coordinator to support our People & Culture team.
This is an excellent opportunity for an early-career HR professional who is looking to build their Human Resources experience within a global organization. The ideal candidate is someone who is sharp, dependable, an excellent communicator, comfortable learning new technology, and exceptionally attentive to detail.
A key focus of this position will be assisting with the preparation and administration of employee letters, HR correspondence, employment documentation, employee records, and other HR operational activities.
We are looking for someone who may be relatively early in their HR career but demonstrates strong judgment, professionalism, initiative, and a genuine desire to learn and grow within Human Resources.
Key Responsibilities
- Support the preparation and processing of employee letters and HR correspondence throughout the employee lifecycle.
- Prepare documents using established HR templates and ensure information is complete and accurate.
- Assist with employment-related documentation, which may include:
- Offer letters
- Promotion letters
- Compensation change letters
- Job title or reporting change letters
- Transfer letters
- Employment verification letters
- Leave-related correspondence
- Contract extension letters
- Employment status change letters
- Separation and end-of-contract letters
- Other employee-related HR correspondence
- Review employee information carefully to ensure names, dates, compensation, job titles, managers, locations, and other information are accurate before documents are issued.
- Coordinate document approvals and signatures as required.
- Track outstanding documentation and follow up to ensure completion.
- Maintain accurate employee records and electronic HR files.
- Assist with employee data updates and HR transactions within Workday or other HR systems.
- Respond to routine employee and manager questions and direct more complex matters to the appropriate HR team member.
- Support onboarding, employee changes, transfers, and offboarding activities.
- Partner with HR Business Partners, Talent Acquisition, Payroll, and other People & Culture team members as needed.
- Assist with HR reporting, data validation, document organization, and audit preparation.
- Maintain confidentiality when handling employee and company information.
- Support additional HR projects and administrative activities as assigned.
Qualifications
- Approximately 1–2 years of HR, administrative, customer service, business operations, or related professional experience.
- Previous HR experience, HR internship experience, or exposure to an HR department is preferred but not required for an exceptional candidate.
- Bachelor's degree in Human Resources, Business Administration, or a related field is preferred; equivalent relevant experience will also be considered.
- Strong written communication skills with the ability to prepare clear, professional, and accurate correspondence.
- Exceptional attention to detail and accuracy.
- Strong organizational and follow-up skills.
- Comfortable working with confidential and sensitive information.
- Strong computer skills and ability to quickly learn new systems and technology.
- Experience with an HRIS or employee management system is a plus.
- Workday experience or exposure is a plus, but not required.
- Proficiency with Microsoft Office, particularly Word, Outlook, and Excel.
- Ability to manage multiple assignments and meet established deadlines.
- Strong interpersonal skills and a professional, service-oriented approach when working with employees and managers.
- Ability to work independently while knowing when to ask questions or escalate an issue.
- Interest in developing a long-term career in Human Resources.
