Position Summary
The Project Sales Coordinator is a dedicated sales-support role responsible for supporting the sales program and day-to-day Presentation Centre operations for Holborn’s real estate developments.
This role is focused on sales coordination, guest experience, sales administration, Presentation Centre readiness, contract coordination, and operational support. The Project Sales Coordinator helps ensure that the sales process runs smoothly, that all buyer and realtor interactions are handled professionally, and that project information is communicated accurately and consistently.
You will be responsible for supporting appointment coordination, customer registration, sales-document preparation, contract tracking, purchaser follow-up, realtor communication, sales reporting, inventory updates, and general Presentation Centre administration. You will also help maintain the Presentation Centre to a high standard, ensuring that sales materials, displays, signage, refreshments, supplies, and customer-facing areas are organized, current, and ready for daily operations.
You will work closely with the Sales & Marketing Director, Sales Manager, sales team, and broader internal team to help achieve project sales targets. In all interactions, you will represent the best interests of the developer by ensuring that information shared with purchasers, realtors, vendors, and internal stakeholders is accurate, professional, timely, and aligned with the company’s brand and business objectives.
Key Responsibilities
Sales Coordination & Presentation Centre Operations
1. Guest Experience & Lead Management
- Greet, register, and host guests at the Presentation Centre, providing a warm, professional, and consistent experience.
- Support the sales team in achieving sales goals by helping with prospecting and follow-up via phone, email, and CRM tasks.
- Assist with sales presentations, including preparing materials, setting up the space, and ensuring all required information is on hand.
- Maintain a strong working knowledge of project details (home types, pricing, promotions, key selling features) and know when to escalate questions to the Sales Manager.
2. Sales Administration, Contracts & Documentation
- Accurately enter and maintain prospect and purchaser information in the CRM and contract platforms.
- Ensure all sales documents and contracts are current, complete, and organized in accordance with internal procedures.
- Manage contracts and administration in Avesdo (contract management tool), including:
- Verify purchase agreements
- Tracking contract status and key dates
- Converting deals from offer to firm
- Tracking deposits and payment schedules
- Maintaining accurate deal details and notes
- Preparing and updating deal and contract status reports as required
- Assist with reviewing purchase agreements for completeness and accuracy, flagging discrepancies as needed to the Sales Manager and internal stakeholders.
- Prepare and update regular sales reports (traffic, leads, deals, conversions) in coordination with the Sales Manager.
- Support deposit tracking and related administrative tasks in accordance with internal procedures and project policy.
3. Presentation Centre Operations & Event Coordination
- Oversee daily operations of the Presentation Centre, including opening, closing, and ensuring the space is always “show-ready.”
- Ensure the Presentation Centre, sales office, and common areas are clean, organized, and on brand.
- Manage inventory and ordering of supplies (brochures, contracts, stationery, refreshments, etc.).
- Coordinate events at the Presentation Centre, including realtor events, buyer previews, and special activations:
- Managing RSVP lists and basic communications
- Coordinating vendors (such as catering and decor)
- Organizing set-up and tear-down
- Supporting the sales team on event day and assisting with post-event follow-up
4. Team Collaboration & Representation of Developer
- Work collaboratively with the Sales & Marketing Director, Sales Team and other internal teams to support weekly and monthly sales goals.
- Ensure all information communicated to prospective buyers and realtors (pricing, inventory, promotions, timelines) is accurate and approved.
- Handle confidential information with discretion and professionalism.
- Represent the developer’s brand and interests at all times through professional conduct, reliable follow-through, and clear communication.
Qualifications
1. Education & Experience
- Post-secondary education in marketing, business, communications, hospitality, real estate, or a related field is an asset.
- Previous experience in real estate, pre-sales, hospitality, retail, or other customer-facing environments is preferred.
- Experience supporting or managing social media accounts for a brand or business is an asset.
- Experience with Avesdo or similar real estate contract management tools is an asset.
2. Technical Skills
- Proficiency with Microsoft Office (Word, Excel, PowerPoint).
- Comfortable learning and working within CRM and contract systems (e.g., Avesdo).
- Familiarity with major social media platforms (Instagram, Facebook, TikTok, YouTube, LinkedIn).
- Basic graphic design skills and experience with tools such as Canva or Adobe Creative Suite is an asset

Pay: $18.27-$21.63 per hour
