Job Summary
We are seeking a dedicated Human Resources professional to support our organization's solo HR department functions. The ideal candidate will play a vital role in managing employee relations, talent acquisition, and HRIS systems, ensuring compliance with company policies and fostering a positive workplace environment. This position offers an opportunity to contribute to strategic HR initiatives and streamline HR processes through effective project management and data management skills.
Duties
o Organize, maintain, and update both physical and digital employee personnel files, ensuring accuracy and compliance with company policies and legal requirements.
o Monitor employee work permits and other documents for expiration, sending timely reminders for renewals.
o Keep track of employee absences, vacation days, and leave balances, updating records accordingly.
o Assist with the recruitment process, including job posting, screening candidates, conducting initial interviews, and scheduling interviews with hiring managers.
o Prepare and distribute job descriptions and employment contracts for new hires.
o Coordinate the onboarding process, ensuring new employees receive necessary training, equipment, and access to company systems.
o Send welcome messages to new hires and provide support during their initial transition period.
o Serve as the first point of contact for employee inquiries and concerns, resolving issues promptly and effectively.
o Implement and monitor programs to ensure employee satisfaction and engagement.
o Manage the disciplinary process, including issuing written warnings and conducting terminations as necessary.
o Keep track of all warning letters and maintain records of disciplinary actions.
o Administer and track all employee training programs, ensuring completion and compliance.
o Send out mandatory training sessions and reminders to all employees as required.
o Develop and update training materials, presentations, and documentation.
o Act as the company’s Health and Safety Representative, conducting quarterly inspections and ensuring compliance with safety standards.
o Coordinate safety training sessions and maintain records of certifications.
o Investigate workplace incidents and implement corrective actions as needed.
o Create, update, and distribute HR policies, procedures, and employee handbooks.
o Develop and maintain comprehensive HR manuals and guidelines for managers and employees.
o Ensure all company policies are following labor laws and industry standards.
o Send birthday and work anniversary messages to employees to foster a positive company culture.
o Coordinate employee recognition programs and company events.
o Communicate company updates, changes in policies, and other important information to employees effectively.
o Ensure all HR data is accurately entered into the HRIS and other systems, generating reports as needed.
o Maintain up-to-date records of employee certifications, training completions, and performance reviews.
o Prepare and present HR-related reports to management.
o Ensure all personnel files are audit-ready and compliant with internal and external regulations.
o Assist with HR audits and implement corrective actions as necessary.
o Primarily office-based with occasional site visits for inspections and training.
o Someone that is able to work on their own and is used to small - mid size companies.
Skills
o Business Administration, HR Certificate or a related field preferred.
o 2+ years of experience in an HR role, preferably within a cleaning or facilities management company.
o Strong knowledge of labor laws, health and safety regulations, and HR best practices.
o Proficiency in HRIS, MS Office Suite, and other relevant software.
o Excellent organizational, communication, and interpersonal skills.
o Ability to handle confidential information with discretion and professionalism.
o Strong problem-solving abilities and a proactive approach to employee relation.
o Administrative experience supporting HR functions such as onboarding, documentation, and compliance activities
o Ability to utilize platforms like Salesforce for recruitment or employee engagement initiatives
This role is integral to maintaining an efficient human resources department that supports organizational growth while fostering a positive work environment. The successful candidate will bring a blend of technical expertise in HR systems and strong interpersonal skills essential for effective human resources management.
Pay: $55,000.00-$60,000.00 per year
