Reporting to Melody Kendall, Assistant Manager, Field Ops & Recognition, this position is suited for an individual who is very organized with excellent time management skills, someone who shows strong attention to detail and thrives in a change filled environment. A Field Administrator assists the Field Operations & Recognition depts, who support Freedom 55 Financial and Wealth and Insurance Solutions Enterprise (WISE).
Filing correspondence on field member contract files and retrieving files for approved head office staff, either from current files on site or ordering through OMNI RIM.
Compiling, mailing and tracking of contracting requirements, including new advisors, direct hires, corporation contracts, and appointments to mgmt.
Inputting and updating data into various compensation systems
Handling a variety of bulk mailings of confidential reports sent bi-weekly, monthly and quarterly and ensuring mailing labels are updated and maintained.
Sorting and delivering of mail.
Running weekly system reports for posting on public folders and for distribution to intercorporate partners.
Maintain an appropriate inventory of forms, documents and supplies for the department.
Submitting overtime for the dept.
Contact person for service calls for repairs to the Multi Function Device (MFD) printers.
Providing other administrative tasks within the Field Comp organization as required.
Qualifications and Competencies:
Strong team player – able to work in a team to meet overall dept deadlines, with the ability to work independently.
Strong attention to detail, timeliness and accuracy required.
Demonstrated initiative and problem solving skills.
Strong organizational skills - Able to handle multiple priorities while managing deadlines.
Technically savvy and Proficient in using Microsoft Office products including Excel and Word.
Product knowledge and use of various admin systems would be an asset (IMS, TSO, ADF, Investment Center, SAS, Siebel and FASAT).
Flexible - able to work overtime when required.
Excellent verbal and written communication skills.
Physical demands required for bulk mailing jobs and filing. Includes bending, lifting of heavy paper boxes on regular basis.
Communication skills in French would be an asset.
