Founded in 2006, Vancouver College of Massage Therapy is the leading massage therapy college in North America. In addition to the college, we have a 15 room on-site student massage clinic. Our mission is to provide excellence in massage education in a supportive and collaborative learning environment. Our administrative team is small and we truly believe in our values of respect and integrity.
YOUR RESPONSIBILITIES
As an Administrative Coordinator, you are a key member of our administrative team, executing day-to-day college operations and supporting students, instructors and members of the administrative team through the following responsibilities.
1. STUDENT LIASON: You are a go-to administrative person for VCMT’s students, providing direction on college-related matters. Manage daily communication and facilitate assessment reviews.
2. MARKETING: Create social media posts on Canva, manage VCMT’s social media channels. Create signage for events, classrooms and student clinic.
3. EVENTS: Plan and organize engaging school events for both the staff and students.
4. ACADEMIC SUPPORT: Provide assistance to the academic faculty by updating attendance records, invigilating exams, preparing transcripts and creating instructor resources.
5. ADMISSIONS: Prepare, coordinate and set-up all new students into the online database. Assist with Student for a Day visits and Weekend Workshop registration and payments. Audit student files on a regular basis to maintain accuracy.
6. ORGANIZATION: Lead term rollover tasks, clean and organize classrooms, clinic, manage campus inventory and supplies.
7. ADMINISTRATIVE SUPPORT: Assist management with administrative projects such as student manuals, student survey documents and protocol documentation. Answer incoming calls as required. Jumping on reception on occasion.
HOW YOU STAND OUT
Desired qualifications and characteristics:
- Minimum 2 years previous experience working in professional office administration
- The go-to person in the office that others rely upon
- Meticulous eye for detail and ability to think for yourself
- Exceptional English communication, both verbal and written
- Professional and friendly demeanor
- Excellent computer skills with extensive knowledge of Microsoft Word, Excel and other administrative programs
- Visual marketing and Social Media skills and hands-on experience with Canva Pro
- Experience with Jane an asset
- Organized, efficient and proactive
- Customer centric approach with consistently high level of service
- Self-starter who requires little supervision
- Natural problem-solver with loads of common sense
- Previous experience working with complex file management and data entry
- Ability to follow processes diligently, identifying opportunities for improvement
- Maintain discretion and confidentiality in all situations
- Willing to jump into whatever needs taking care of
