Overview
We are seeking a highly organized and detail-oriented Office Manager to oversee daily administrative operations within our office environment. The ideal candidate will possess strong clerical and customer service skills, with experience in managing office procedures, data entry, and front desk responsibilities. This role requires proficiency in various software tools and excellent organizational abilities to ensure smooth office functioning and exceptional support to staff and clients alike.
Duties
- Oversee and coordinate office administrative procedures and review, evaluate and implement new procedures
- Establish work priorities, delegate work to office support staff, and ensure deadlines are met and procedures are followed
- Carry out administrative activities associated with admissions to post-secondary educational institutions
- Administer policies and procedures related to the release of records in processing requests under government access to information and privacy legislation
- Coordinate and plan for office services, such as accommodation, relocations, equipment, supplies, forms, disposal of assets, parking, maintenance and security services
- Conduct analyses and oversee administrative operations related to budgeting, contracting and project planning and management processes
- Assist in preparation of operating budget and maintain inventory and budgetary controls
- Assemble data and prepare periodic and special reports, manuals and correspondence
- May supervise records management technicians and related staff.
Experience
- Proven experience in an administrative or clerical role within an office setting
- Familiarity with office software including Microsoft Office Suite (Word, Excel, Outlook), Google Workspace (Docs, Sheets), and QuickBooks
- Prior experience in customer service or front desk management with strong phone etiquette skills
- Knowledge of data entry procedures, filing systems, and document proofreading
- Experience working in medical or dental offices is a plus but not required; relevant healthcare support experience is advantageous
- Strong organizational skills with the ability to multitask efficiently in a fast-paced environment
- Demonstrated ability to handle multi-line phone systems and provide excellent customer support
- Ability to perform typing tasks accurately at a high speed and maintain attention to detail
Pay: $34.62-$35.62 per hour
