We're Hiring: Patient Care Coordinator & ReceptionistSchedule
- Full-Time Position
- Tuesday to Saturday
- Must be willing to work at both our Airdrie and Calgary clinic locations as required
Key ResponsibilitiesPatient Experience & Frontline Service
- Greet patients and visitors warmly, both in person and over the phone
- Create a positive, professional first impression for every patient interaction
- Assist patients with inquiries, appointments, clinic information, and general service questions
Referral Coordination
- Process and manage incoming referrals through our EMR system
- Triage referrals according to clinic protocols
- Coordinate communication with referring clinics and patients to ensure timely follow-up
Appointment Management
- Schedule, confirm, and manage medical and cosmetic appointments
- Support efficient patient flow and provider schedules
- Assist with recalls, waitlists, and appointment reminders
Administrative Support
- Perform general reception duties including filing, scanning, data entry, and supply management
- Maintain accurate patient records within the EMR system
- Support day-to-day clinic operations and team coordination
Product & Service Knowledge
- Develop a strong understanding of Aspire Care Clinic's medical and cosmetic services
- Learn our medical-grade skincare product lines and treatment offerings
- Assist patients with general product and service inquiries
- Help educate patients about skincare products and cosmetic services appropriate to their needs
- Support clinic promotions, retail initiatives, and patient education
Digital Communication
- Respond professionally to emails, online inquiries, and internal communications
- Assist with social media engagement and content support (an asset but not required)
What We're Looking ForQualifications & Skills
- Experience in a medical office, specialist clinic, aesthetic clinic, medical spa, or customer service environment is preferred
- Experience with referral management and EMR systems is an asset
- Knowledge of medical-grade skincare products, cosmetic treatments, or the medical aesthetics industry is considered a strong asset
- Strong verbal and written communication skills
- Excellent organizational skills and attention to detail
- Ability to multitask effectively in a fast-paced environment
- Professional, dependable, and patient-focused
Passion for Skin Health & Aesthetics
- A genuine interest in skincare products, cosmetic services, and helping patients achieve healthy skin
- Enthusiastic about learning medical-grade skincare lines, cosmetic treatments, and patient education
- Comfortable discussing skincare products and clinic services with patients in a professional and supportive manner
- Candidates with previous experience selling or recommending skincare products or aesthetic services are encouraged to apply
