SNC Lavalin, Dragados, Pennecon (SDP) General Partnership is seeking an Executive Assistant to join the West White Rose Project team in Argentia, NL . Reporting into the project leadership team, you will provide an integral position directly on site to the project.

The Executive Assistant must demonstrate a strong sense of organization, responsibility, discretion, professionalism and judgment. They will provide administrative and professional support and assist in the management of the organization of the department.

The ideal candidate will need to be meticulous, organized, proactive and able to recognize problem situations before they occur. It is independent and able to work with minimal supervision in a fast paced construction environment that is constantly changing with priorities.

Responsibilities:
Manages and maintains calendar and appointments;
Responds to telephone calls, relays messages and handles incoming communications;
Composes correspondence, letters and prepares documents, powerpoint presentations as well as management reports;
Prepare and have access to highly confidential and sensitive information on an ongoing basis; expectation of complete confidentiality on all business matters;
Arranges and coordinates meetings and events at the request of the Director and management team;
Makes necessary travel arrangements, prepare itineraries and expenses reports;
Prepares Management Committee agenda, compiles documents for meetings and updates Management Committee share point;
Prepares Management Committee minutes and follows up on actions;
Files documents as well as reference materials;
Acts as the liaison between the Director and the Leadership Team;
Interacts with internal and external clients;
Conducts research, collects and analyses data to prepare reports and documents;
Prepares timesheet and monitors and codes incoming invoices;
Build, nurture, and foster relationships with internal and external partners;
Proactively follow-up on issues to ensure they are resolved;
Lead by example in understanding and adhering to the SNC-Lavalin Code of Ethics and in all HSE initiatives;
Perform other ad-hoc duties as assigned.

Requirements:
Diploma in Business Administration or any other relevant information;
Minimum of 8 years of experience in a similar role, supporting Executives and/or Business Leaders
Excellent knowledge of organization and relationships;
Professionalism in Judgment and Integrity;
Ability to work in a team environment and also in a workplace where there is under pressure in an autonomous role;
Rapid decision-making skills;
Good report writing and presentation skills;
Maintaining confidentiality to manage confidential material and situations;
Ability to manage several tasks, while maintaining a positive attitude (priority and time management, as well as versatility);
Advanced Microsoft Office Suite (Outlook, Word, excellent knowledge of Excel and PowerPoint);
Excellent knowledge of French and English, both spoken and Written.
Please note this is a site based position in Argentia, NL working from Monday to Friday from 7am to 5pm. We provide financial assistance to work out there but candidates are expected to make arrangements to work from this location.
