Job Overview
We are seeking a motivated Entry-Level Office Administrative Assistant & Client Services Specialist to join our team on a full-time or part-time basis. This role offers an excellent opportunity for individuals interested in gaining office experience and developing their administrative and customer service skills. The ideal candidate will be detail-oriented, organized, and eager to support daily office operations while providing exceptional support to clients and team members. Prior experience with office software and customer service is a plus, but training will be provided for the right candidate.
Duties
- Greet clients and visitors at the front desk, providing professional and friendly customer service
- Manage multi-line phone systems, screen calls, and direct inquiries appropriately
- Perform data entry tasks accurately using Microsoft Office, Google Workspace, and QuickBooks
- Assist with filing, document management, and maintaining organized records
- Support bookkeeping activities including basic invoicing and expense tracking
- Schedule appointments, coordinate meetings, and maintain calendars for staff and clients
- Proofread documents for accuracy and clarity before distribution
- Handle administrative tasks such as photocopying, scanning, and mailing correspondence
- Provide general clerical support to ensure smooth office operations
- Support medical or dental office functions if applicable, including patient check-in/out and appointment scheduling
Skills
- Proficiency in Microsoft Office Suite (Word, Excel, Outlook) and Google Workspace applications
- Experience with QuickBooks or similar bookkeeping software is preferred
- Strong computer skills with the ability to learn new software quickly
- Excellent organizational skills with attention to detail
- Effective typing speed with accuracy; familiarity with data entry tasks
- Good phone etiquette and customer service skills to handle client inquiries professionally
- Ability to manage multiple tasks efficiently in a fast-paced environment
- Clerical experience including filing, document management, and front desk responsibilities is advantageous
- Knowledge of medical or dental office procedures is a plus but not required
- Strong proofreading skills to ensure error-free communication
