Accounts Payable

Role Summary

Reporting to the Accounting Manager, this position is primarily responsible for performing accounting functions
related to accounts payable recording, reporting and reconciliations. This position integrates information from
multiple sources to produce accurate and timely financial reporting.


  • Enter vendor invoices, ensuring they are coded to the correct account and confirming there is proper
authorization on both the invoice and the purchase order

  • Request and reconcile to vendor statements to ensure all invoices are processed for month end
  • Reconcile credit card purchases to statements
  • Ensure payables reports are accurate and provided in a timely manner
  • Respond to vendor inquires in a professional manner and in a timely basis to resolve issues or
discrepancies with invoices or payments.

  • Record all processed cheques and cleared cheques on a monthly basis
  • Audit and process expense reports
  • Prepared harmonized sales tax return
  • Oversee and assist with all department cheque books
  • Attend meetings as required
  • Organize, secure and maintain all pertinent files and records, including computerized financial information
in accordance with document retention and confidentially policies and procedures

  • Performs key aspects of other positions where training has been provided, when needed, assisting the
accounting manager to ensure full coverage of daily accounting priorities

  • Enter and locate work related information using other departmental reports, computers and/or point of
sale; communication with clients as necessary

  • Compliance with all safety regulations of assigned tasks, and ensure a clean and safe working
environment with active participation in the health and safety program

  • Adhere to all environmental policies and programs as required
  • Other duties as assigned

  • Proficiency in Microsoft Office applications, a strong focus on Excel
  • Minimum 2 years computerized accounts payable experience required
  • Superior attention to detail and organization skills
  • Ability to multi-task, prioritize and submit reports accurately and in a timely manner
  • Strong team player and the ability to maintain a positive and productive work environment while adhering
to strict confidentiality requirements of the department

  • Formal training or higher education in accounting an asset
  • Previous experience in hospitality an asset
  • Experience using Accounting/Bookkeeping software, mapping and other point of sale system
  • Strong oral and written communication skills
  • Ability to work well independently and in a team environment
Working Conditions

  • Stand, sit or walk for an extended period of time or for an entire shift
  • Ability to lift a minimum of 20 pounds
  • Must be able to work flexible hours including evenings, weekends and holidays
