About the Team
The HR Team reports to the Director of Human Resources and Strategy. This team is responsible for managing all the employee related functions at the organization, including but not limited to, Payroll, Recruiting, Benefits, Employee Management, Employee Relations and Training. The HR Team must balance the various daily tasks that support day to day functions at the organization, while also being able to plan and manage larger employee processes. They support Management’s goals and objectives while also ensuring employees have the tools and capabilities to perform their jobs. The members of this team are efficient and collaborate with all parts of the business daily, so there is always something new to learn and skills to develop.
About the Role
We are seeking an eager and supportive HR & Admin Assistant to support our organization across a variety of functions. This role will be exposed to many different activities as they support various parts of the employee life cycle, such as recruiting, hiring and onboarding, training, compensation and benefits, absences and offboarding. Staying up to date on employee programs and training is key, so this role will help develop new policies and training material and maintain existing ones to stay in compliance. The role also acts as a hub for addressing any workplace safety, labour relations or employee questions that may arise. On the Administration side, the role will be responsible for our reception desk where they receive guests, answer telephone calls, maintain office supplies and coordinate internal communication. With the variety of functions this role supports, a good candidate should be able to multi-task and work well with others. The HR & Admin Assistant will report directly to the Director of HR and Strategy while working alongside our HR Coordinator. Previous HR or Administrative experience is considered an asset.
Key Responsibilities
- Support the Recruiting process by scheduling interviews, screening resumes, managing applicants, conducting initial interviews and managing communications with candidates.
- Develop and maintain employee documentation and work with the HR and Management team to update policies, procedures and forms.
- Coordinate internal communication between teams and employees and ensure organization wide awareness for upcoming activities and changes.
- Support administration tasks for benefits, absences, performance reviews and training programs.
- Receive employee questions and feedback, directing them to applicable resources and or involve the necessary team members to resolve any outstanding items.
- Participate in the Workplace Health and Safety committee by taking meeting minutes, participating in safety audits and tracking non-conformities.
- Maintain employee information and training records, both the physical copies and electronic database on the organization’s HR systems
- Respond to general inquiries, answer telephone calls and coordinate internal communication between various teams.
- Receive, sort and distribute incoming and outgoing correspondence and communications in a timely manner.
- Order office supplies, receive shipments and mail, and updated internal documentation to track inventory records.
- Prepare, edit, and proofread general communications in the form of memos, notices, forms, brochures, invitations, staff lists, reports, and other business documents as directed.
- Coordinate office procedures and ensure office areas and meeting rooms are organized, maintained, and presentable.
- Other ad-hoc HR and Admin responsibilities as needed.
About You
Qualifications
● Diploma or degree in Human Resources, Business or related field.
● Native English proficiency with strong written and verbal skills
● Previous HR or Admin experience is preferred
● Working knowledge of local and provincial labour laws, requirements and Workplace Health and Safety rules and regulations
● Ability to multi-task and manage different deliverables simultaneously
● Proficiency with Microsoft Office Suite (Excel, Word, Outlook) and HRIS/ERP programs
● Strong interpersonal skills and ability to communicate with different levels of staff and visitors
· Excellent initiative, attention to detail and organizational skills
· Ability to work independently and in a group
· Comfortability with fast paced and deadline driven work environment
Salary Range
The expected wage range for this position is $20 – $25 per hour.
