The Customer Service Representative (CSR) will report to operations Manager and is responsible for the performance of the day-to-day service functions which include the following:
· Main point of contact for customers assisting in answering any questions and providing appropriate solutions for any issues or complaints
· Handling phone calls
· Monitor and respond to emails in both personal and shared email accounts
· Booking Appointments
· Data Entry for Order Placement of Shipping & Receiving
· Quality Checks and pictures to be taken on Inbound and Outbound Orders
· Confirm that the Onsite Safety Orientation has been completed by any outside visitor or carrier
· Inventory Counting and Management
Customer Communication:
· Receiving and handling incoming customer phone calls and e-mails
· Monitor and respond to all inbound emails in a timely fashion
· Understand the customer requirements as thoroughly as possible
· Identify any problem situations with customer shipments and communicate any discrepancies with Operations Manager immediately for resolution
Order Detail Entry and Processes:
· Process all orders via email from in Sage for both Inbound Receipts and Outbound Shipments prior to arriving to shorten the wait time upon the arrival of all drivers
· File paperwork by account of pending the arrival of the carrier
For Inbound Deliveries:
· Paperwork is printed out of Sage; the Delivery Date and Carrier Information is added after unload in Receipt Entry
· If there are any discrepancies on the products that came in with the carrier then a phone call will be made to the customer advising them on any differences and adjust inbound order in Sagel to match what was received on ground
· Print off a copy of the receiving as well as a copy of the Customer Invoice, which will be emailed to the customer once the off load has been confirmed and completed.
· Once the loader has confirmed that material on the ground matches what was listed on the paperwork go back into Sage and post into Inventory
· A copy of the Receiving and Invoice paperwork along with pictures is emailed to the customer
· File a copy of the of the email that was sent to the Customer in the Universal folder under Load paperwork
For Outbound Shipments:
· Load Sheet is printed out of Sage, adjust the Pick-Up Date and Carrier information before printing
· After receiving load sheet and pictures from Operators the BOL’s are printed off
· After truck has been loaded, check Photos to ensure that the correct material and quantities have been loaded
· Driver will sign the BOL’s they will keep two copies and one is kept for our records
· In Sage, post the material out of inventory and email the customer a copy of the paperwork and pictures of the outbound load
· File a copy of the paperwork that was sent to the Customer in the Universal folder under Load paperwork
Inventory:
· Month End Inventory Counts are done on the last 2 days of every month
· Reconcile any discrepancies between on hands and on ground counts
· Reconcile and discrepancies between Universal on hands and customer on hands
· Investigations, root cause and corrective action to process analysis
· Random counts and location audits during the week
Administration and Other Duties:
· Weekly and Month End Reporting
· Month End Storage calculations for invoicing
· Ensuring all orders have been posted in Access
· Filing both Daily and Monthly
· Inform Operations Supervisor of any needed office supplies
· Clean up of general areas within the Universal building if required

Pay: $50,000.00-$70,000.00 per year
