Open/close telephone system for the day – answer, transfer incoming calls and do paging for Iberville plant.
Accountable for the coming and going of all visitors – making sure a badge is given and visitor’s registry is sign accordingly.
Reception of Canada post – FedEx, Purolator, etc. Sort and place mail in appropriate slots for all departments.
Receive checks (current and postdated) from customers, sort and list in appropriate deposit book for accounting.
Handle data-card system – take employees pictures and print the access card for security purposes (maintain system information). Order supplies for the data card system,
Receive Po’s from different department and input into the Oracle or KBM system.
Responsible to expedite packages, letters etc. through the FedEx system and keep inventory for customer addresses up to date, also order supplies fedex envelopes boxes etc,.
Maintain Pitney Bowes system (Canada Post) (supplies -stamps, ink, etc.).
Stamping of envelops that are sent to customers.
Maintain conference room agenda/reservation for all departments
Receive and fold invoices to be sent out to different customers by the Canada post system… (to be pick up by L60 and taken to post office).
Receive and distribute faxes to different departments.
Stationary inventory and replenishment.
Responsible to keep up to date all telephone list for all departments.
Update the employee list in case of emergency.
Update list for office and plant employees - cafeteria beverages
Assist marketing department when requested for special send out to customers. prepare envelops for mass mailing
Handle Marketing mass mailing (calendar, catalogs, promo, price lists, etc Overlook maintenance issues for the building-call dispatch to take action
Various unknown tasks required by different departments
A solid background in customer service
2yrs minimum in similar support customer service role & /or receptionist experience
