AREA OF RESPONSIBILITY & DUTIES
Reporting directly to the Executive Director, the Office Manager will have the following responsibilities:
1. Ability to work independently as well as co-operatively with the Centre Staff and volunteers to ensure smooth and efficient services to the members in a friendly, respectful and caring manner, ensuring that the Society’s Constitution and By- Laws are followed.
2. Welcome all members and visitors in a friendly and polite manner.
3. Be knowledgeable about the activities of the Centre and other Community programs and be able to provide information about various services and programs that may be available to seniors.
4. Maintain record of attendance for information sessions, activities and classes being as accurate as possible. This information is vital for purposes of grant funding and statistical reports and must be accurate.
5. Will be responsible for pick up and delivery of food for outreach programs
6. Maintain records of activities, rentals and instructional programs, updating VEND database a minimum once a week. As well, ensure updated information and registration is completed for statistical information.
7. Ensure that volunteers working at the reception desk are orientated and competent with the VEND a point-of-sale system, collection of cash payments and will supervise to ensure procedures are systematically followed. Adjust and update system as necessary.
9. In partnership with staff and volunteer committees plan and implement special events and fundraising programs at the Centre. This will include creating tickets and advertising for such events (posters, , etc.) In addition, provide support, chair meetings or act as a resource for entertainment, assist with cost projections and breakdown of jobs. Help as necessary during special events.
10. Must be able to work independently as well as a team player working with other staff, volunteers and Board members.
WORK AGREEMENT
* Full time position (up to 35 hours per week)
* Sunday to Thursday 8:30 am. – 4:30 pm.
QUALIFICATIONS
* Completion of secondary school education
* First Aid and CPR training or completed within 6 months of hiring .
* Training or experience in Office Management
* Training or experience in working with a senior volunteer base
* Good knowledge of computers including Word, Excel, PowerPoint, Web, Google, Email, Zoom. Experience or knowledge in VEND (Point of Sales program) will be considered an asset.
* Must be Bondable and have a Criminal Record check
* Class 4 Driver’s License preferred
PERSONAL SUITABILITY
* Ability to maintain and establish a friendly, working relationship with other staff members and members of the Society. Must have empathy for and enjoy working with seniors.
* Business casual dress and deportment is expected.
WORKING CONDITIONS
- Exciting, challenging and busy environment
- Ability and willingness to work occasional evenings or weekends as required, through a flexible work schedule when organizational responsibilities and program require
- Some lifting up to 10 kg. be required (ie. Moving tables and chairs, organizing supplies, etc)
BENEFITS
* Paid leave is given for all BC Stat holidays
* Holidays will be 3 weeks per calendar year
* Sick time will be 10 days per year (non accumulative)
SALARY
Payroll bi weekly
$55,000 yearly
Pay: $50,000.00-$55,000.00 per year
