Part-time Scheduler

Community Living Upper Ottawa Valley is seeking a highly organized and detail-orientated part-time Scheduler to support the effective delivery of services across our organization. This role is responsible for employee scheduling, resource allocation, workforce coordination to ensure the needs of the people we support are met while maintaining compliance with organizational policies, legislative requirements and applicable collective agreement language.
The successful candidate will be a collaborative problem-solver with strong analytical skills, exceptional communication abilities and a commitment to fostering positive and supports workplace culture.
Key Responsibilities
- Develop, maintain, and adjust employee schedules and master rotations.
- Coordinate staffing coverage for leaves, vacancies, and schedule changes.
- Manage call-ins and replacement staffing to ensure service continuity.
- Maintain and distribute schedules, assignment sheets, and staffing updates.
- Monitor attendance, absences, and scheduling trends.
- Ensure scheduling practices comply with collective agreement, Employment Standards Act (ESA), and organizational requirements.
- Support payroll accuracy by ensuring scheduled hours and approved changes are properly recorded.
Resource Management & Reporting
- Analyze scheduling and attendance data to identify trends and support decision-making.
- Prepare and generate reports using scheduling and business software systems.
- Collaborate with managers and supervisors to optimize staffing resources.
- Provide recommendations regarding scheduling efficiencies and absenteeism management.
Training & Compliance Support
- Coordinate and schedule training, certifications, and orientation sessions for employees.
- Assist in maintaining organizational compliance related to mandatory training requirements.
- Provide guidance and training to employees and management on scheduling systems and processes.
Organizational Leadership
- Serve as a resource to employees, supervisors, and management teams.
- Contribute to workplace initiatives, process improvements, and organizational projects.
- Promote CLUOV's mission, vision, values, and commitment to person-centered supports.
Qualifications
- Post-secondary education ins Business Administration, Human Resources or a related field, or an equivalent of education and experience.
- Experience with employee scheduling, workforce planning or resource coordination.
- Strong knowledge of employment legislation and collective agreement environments.
- Excellent organizational skills, ability to handle multiple assignments and prioritize activities in a fast-paced organization
- Superior verbal and written communication skills
- Clear criminal record check and vulnerable sector clearance
- Strong diplomacy and negotiation skills and ability to work as an effective team member
- A self-starter with the ability to take initiative from concept through to implementation
- Adept at learning new technology
- Creativity, analytical skills, and strong attention to detail
- French language fluency would be an asset
- Valid Ontario G or G2 Driver’s Licence
- Valid Criminal Record and Vulnerable Sector Check.

The salary for this position will include a pay out of benefits at a rate of 5.9% and OMERS pension.
Wage: $23.48-$25.07
