The Somali Women’s and Children’s Support Network (SWCSN) is a community-based non-profit organization serving Toronto, particularly the North Etobicoke community. SWCSN provides programs and services including skills development, employment readiness, senior programs, parenting workshops, childcare, youth programs, health and wellness, and community support.
SWCSN responds to community needs through program delivery, outreach, coordination, and partnerships.
POSITION SUMMARY
The Program Assistant will provide administrative and program support to SWCSN and assist with the coordination and delivery of community workshops and activities. The position will work closely with the Program Manager, Executive Director, staff, volunteers, facilitators, community partners, and participants.
The position will focus on day-to-day program administration, participant communication and documentation, workshop preparation and delivery, staff meetings, outreach, scheduling, and general office and program support.
Proposal writing, grant writing, and funding application responsibilities are not part of this position.
QUALIFICATIONS
- Post-secondary education in Social Services, Community Development, Social Work, Education, Public Health, Non-Profit Management, Business Administration, or a related field is an asset.
- Previous experience working in a community-based, non-profit, social service, or community development organization is an asset.
- Experience supporting the planning and delivery of community programs and workshops.
- Experience providing administrative and program coordination support.
- Knowledge and understanding of the needs of women, children, youth, families, seniors, newcomers, and underserved communities.
- Experience working with diverse communities and demonstrated cultural sensitivity.
- Strong written and verbal communication skills.
- Strong organizational and time-management skills.
- Ability to prepare professional correspondence, schedules, attendance records, workshop materials, reports, and other administrative documents.
- Strong computer skills, including Microsoft Word, Excel, PowerPoint, Outlook, and online communication platforms.
- Ability to collect, maintain, and organize participant and program information.
- Ability to maintain confidentiality and professional standards when working with participants.
- Knowledge of community resources and services in Toronto is an asset.
- Fluency in Somali and English is strongly preferred.
- Ability to work flexible hours, including evenings and some weekends, as required by workshop and program schedules.
- A Vulnerable Sector Police Check may be required prior to commencing the position.
MAJOR RESPONSIBILITIESAdministrative & Program Support
- Provide day-to-day administrative support for SWCSN programs and community activities.
- Assist with scheduling programs, workshops, meetings, facilitators, and participants.
- Prepare attendance sheets, registration forms, participant lists, sign-in sheets, correspondence, and other program documents.
- Maintain organized and confidential participant and program records.
- Respond to participant inquiries and provide information about SWCSN programs and community services.
- Assist with phone calls, emails, photocopying, filing, data entry, and other general administrative duties.
- Support the preparation of program materials, presentations, handouts, and participant resources.
- Collect participant feedback and maintain basic program documentation.
Workshop Preparation & Delivery
- Assist with planning, organizing, preparing, and delivering community workshops and information sessions.
- Deliver or co-facilitate workshops and educational sessions within the employee’s knowledge, training, and assigned responsibilities.
- Prepare workshop agendas, presentations, handouts, activities, and participant materials.
- Support workshops related to health and wellness, parenting and family support, financial literacy, nutrition and healthy living, mental health and self-care, employment and job readiness, community resources and settlement support, and community safety and awareness.
- Coordinate with guest speakers, facilitators, trainers, and community resource persons when required.
- Assist with workshop setup, participant registration, attendance, evaluation, and follow-up.
- Assist with evaluating workshop activities and identifying areas for improvement.
STAFF MEETINGS & TEAM COLLABORATION
- Actively participate in required SWCSN staff and program team meetings.
- Provide updates on assigned administrative duties, workshops, outreach activities, and participant engagement.
- Work collaboratively with the Program Manager, Executive Director, staff, volunteers, facilitators, and community partners.
- Participate in staff development and training as required.
- Contribute ideas and recommendations to improve SWCSN programs and services.
OTHER RESPONSIBILITIES
- Perform other program and administrative duties as assigned by the Program Manager or Executive Director.
- Support SWCSN special events, community meetings, workshops, and organizational activities.
- Represent SWCSN in a professional, respectful, and culturally appropriate manner.
- Provide services with an understanding of diversity, poverty, social inclusion, and barriers experienced by underserved communities.
- Maintain professional standards and comply with SWCSN policies and procedures.
