NVIT anticipates the need for one full-time Manager of Institutional Reporting and Colleague Administrator and invites applications from qualified candidates. This will be a one-year term position with the possibility of extension. The campus location, either Merritt or Burnaby, will be determined by candidate suitability. For this term position, hybrid work may be considered. This position will start as soon as the suitable candidate is available.
Job Summary/Responsibilities:
Working independently and reporting to the President, the Manager of Institutional Reporting and Colleague Administrator is the institutional contact for the Ministry’s Central Data Warehouse and related Ministry FTE reports and data verification requests. The Manager is responsible for providing basic quantitative and qualitative information analysis and reports to support strategic decision- and policy-making by the institute’s senior administration. The Manager is responsible for the administration of NVIT’s ERP (Ellucian Colleague), and related applications and workflows. The Manager establishes data governance processes and procedures; conducts research; participates in study design; compiles information; conducts analyses; and prepares reports on a variety of issues for internal uses and for dissemination to external and Government agencies. The Manager responds to internal and external requests for information, data analysis, and institutional surveys received from external agencies. The Manager of Institutional Reporting and Colleague Administrator is a member of NVIT’s Strategic Enrolment Management Committee.
Position Responsibilities
Institutional Reporting:
- Ensure NVIT complies with the reporting requirements set by the Ministry of Post-Secondary Education and Future Skills related to Ministry FTE and Contact Hour reports, which includes meeting data quality standards and thresholds determined in the Ministry’s Data Quality Management Plan, and the annual Institutional Accountability Plan and Report.
- Operationalize strategic reporting of data by creating end-user reports, including dashboard views, to aid in campus decision making.
- Conduct user-focused and data-driven research; anticipate and represent end-user needs; propose analytic reports to address strategic, tactical, structured or unstructured business questions.
- Represent NVIT as a voting member in provincial committees related to Institutional Reporting including Institutional Research and Planning Directors’ Association (IRPDA), British Columbia Institutional Researchers and Planners (BCIRP), and BC Student Outcomes Forum.
- Plan and implement surveys, develop analytical tools, and provide technical assistance to inform institutional decision making related to planning, budgeting, accountability, program evaluation, SEM benchmarks, internal and external reporting, and policy development.
- Synthesize the large volume of relevant research collected about the institutional characteristics of on- and off-campus deliveries across each phase of the enrolment cycle.
- Stay current in knowledge and techniques concerning student and functional outcomes assessment and higher education research.
- Collaborate with colleagues to foster the culture of a data-driven institute, serve on committees and workgroups as assigned, participate in professional development, and perform other duties as assigned.
Colleague (ERP) Administrator:
- Collaborate with users across all functional areas to support and aid in the implementation and on-going maintenance of NVIT’s ERP (Ellucian Colleague) and related workflows (Moodle, Self Service, and Ellucian Experience) to meet organizational needs while managing data integrity and access controls/permissions.
- Serve as administrator for the ERP and related applications and reporting tools (Informer, Retention Alert, Self-Service, Mobile App, OA Support).
- Troubleshoot and resolve or escalate Colleague system issues.
- Identify data governance priorities across the institute and collaborate with functional areas (HR, Finance, and Student) to develop and document business processes and procedures to support data governance priorities and ensure consistent data entry across the integrated system, resulting in accurate effective institutional data.
- Provide training on reporting tools to campus end-users and develop accompanying training resources and documentation.
- Participate in committees related to ERP administration, including BCNET-hosted Colleague Steering Committee, Colleague Service Committee, and the Communities of Practice meetings for HR, Finance, and Student modules.
- Other duties as assigned.
