THE OPPORTUNITY:
Pheasant Glen Golf Resort is launching an exciting new restaurant concept within the Clubhouse, Coyote Bills & The Dutton Chop House and is looking for an experienced Accounting & Payroll Administrator who will be the primary general accountant and payroll coordinator for the hospitality division, as well as providing HR administrative support for the company with preferred hospitality experience and experience in tips and gratuities administration.
The restaurant is a key component of the new Clubhouse and is the vibrant heart of Pheasant Glen Golf Resort, offering a welcoming space to relax and connect, where you can savour West Coast-inspired cuisine, enjoy drinks on the expansive decks, or celebrate a special event.
ABOUT THE POSITION
The Accounting & Payroll Administrator will be the specialized hospitality financial role with the primary function of accounting and payroll administration for the company, maintaining the general ledger and the employee database and confidential employee files. You will be responsible for accurately processing, recording and maintaining all daily financial transactions and journal entries related to Coyote Bills & The Dutton, from POS to the general accounting system, including vendor invoicing, inventory data, sales and expenses.
In addition, the position ensures payroll compliance with federal and provincial legislation, maintains employee records, administers benefits, tips and gratuities management and will support administrative tasks related to recruitment, onboarding and performance management.
The role requires exceptional attention to detail and strong organizational skills, and the Position will possess a demonstrated understanding of the importance of confidentiality, exemplifying the highest level of business conduct and personal ethics.

KEY RESPONSIBILITIES:
Accounting & Bookkeeping
- Review, code and post journal entries and reconcile accounts, including credit card reconciliations.
- Maintain general ledgers and ensure accurate financial data.
- Reconcile sales data reviewing taxes, tips, discounts, comps, refunds, and gift-card activity correctly.
- Manage accounts receivable and accounts payable processes to ensure timely billing and payments.
- Process daily/weekly bank deposits.
- Reconcile bank accounts, cash sales and expenses receipts, ensuring accuracy,
- Prepare, calculate and file PST, GST and WorkSafeBC and any other tax remittances, as required by provincial and federal legislation.
- Prepare weekly and monthly financial reports related to sales, inventories, balance sheets and cash flow for management.
Payroll Administration & Reporting
- Responsible for processing of full cycle payroll including payroll data entry.
- Maintain all payroll records and employee information in the payroll system.
- Process payroll documentation related to new hires, terminations (Records of Employment), leaves of absence, etc.
- Reconcile payroll reports, general ledgers with accounting records.
- Coordinate year-end payroll activities including T4 preparation, distribution and reconciliations.
- Maintain the company payroll systems to ensure compliance with all provincial and federal payroll legislation.
- Track, calculate, and distribute daily or weekly direct (cash) and controlled (electronic)tip-outs according to company policy.
- Maintain accurate records of electronic tips through the POS and accounting system to meet all legislative requirements & guidelines, specifically, the Employment Standards Act (ESA) and Canada Revenue Agency (CRA).
HR Administration
- Ensure documentation in employee personal files both electronic and paper, are complete, up to date and accurate and meets PIPEDA legislation.
- Supporting the General Manager and other key management leaders by managing the administration of employee records related to staff vacations and other leaves.
- Provide support and clarification to employees and management on company HR policy related queries.
- Coordinate onboarding activities including new employment documentation, employee manual and company policy distribution, and orientation scheduling.
- Assist with recruitment activities, including drafting employment letters.
QUALIFICATIONS, SKILLS & EXPERIENCE
As a Payroll & HR Administrator, you have:
o Minimum 2 to 3 years of experience related to hospitality accounting and payroll functions.
o Diploma or certificate in Accounting, Finance or Business Administration preferred.
o Experience with Sage Accounting Software an asset
o Payroll Compliance Practitioner certificate an asset.
o Proficient with restaurant POS systems (Squirrel) and payroll software.
o Knowledge of labour and employment standards regarding tip and gratuities regulations.
o Demonstrated knowledge of Canadian payroll legislation, payroll procedures and processes.
o Strong Microsoft Excel and Office suite skills, with solid proficiency in Excel functions to compare, analyze and manage data.
- Strong attention to detail and accuracy.
- Ability to manage multiple priorities in a fast-paced hospitality environment.
- Ability to recognize and maintain the highest level of confidentiality.
- Demonstrated time management, organizational and analytical skills; ability to organize and prioritize a wide range of tasks efficiently.
- Consistent display of professional, respectful team service approach; ability to respond to all work activities with active listening, diplomacy, discretion, and tact.
- Experience in working in hospitality an asset.

Must be eligible to work in Canada.
COMPENSATION PACKAGE:
- Base salary $55,000 - $70,000 per year, wage offered is determined by multiple factors, including job-related skills and relevant education/experience.
