Day in the Life:
As the Executive Assistant for Supply Chain, Fulfillment and Logistics (SC&L), you will play a key role in the administrative and operational effectiveness across the SC&L leadership team. You will be accountable for coordinating the activities of several leaders within the team. Performing a wide variety of administrative support, ranging from routine to complex, all of which contribute to the efficient and professional operation of the team. The incumbent will contribute to the delivery of special projects and the SC&L team’s vendor relations and communication. This role will also support our Diversity, Equity and Inclusion Framework by supporting our ongoing commitments to remove barriers for our Associates and communities.

What You Will Do:
Support the Senior Vice President with preparing for Executive Committee and board meetings
Manage team town hall and open forum meetings
Liaise between corporate communication and teams for official communications
Draft communications from SC&L senior leaders to the organization in partnership with Internal Communications team
Develop cross-functional partnerships to support key strategic initiatives as needed
Calendar management - prioritizing appointments and proactively resolving scheduling conflicts
Provide support for various meetings by arranging dates/times/rooms, & preparing agenda packages
Attend meetings as required, and record action items + follow-up with leaders on key takeaway items
Partner with project leads on special assignments
Maintain overall quality of documents/presentations by proofing materials for content, design and accuracy
Make travel arrangements as required, including flights, hotel, transportation; completes and submits expense claims
Plan and execute SC&L team summit meetings
Support ongoing commitments to remove barriers for Associates and communities
Drive the Diversity, Equity and Inclusion Framework across all SCFL teams
Respond to correspondence (phone, email and in-person) inquiries – providing general information and referring inquiries to appropriate sources based on a broad knowledge of procedures, protocols and personnel
Organize special events as required by the leader’s office which includes invitations, facilities, and catering arrangements
Maintain records regarding vacation and leaves for staff reporting on the department

What You Will Need:
Bachelor’s degree or equivalent combination of education and experience
3+ years relevant experience working with an executive leadership team
Experience in an ecommerce, start-up, Third-party logistics (3PL), or logistics team environment is preferred
Experienced in the use of Google Suite, MS Office, Concur Travel Management System and database applications
Strong oral and written communication skills
Ability to work in a fast-paced, customer-driven environment
Highly organized and able to handle multiple tasks at once – with a sense of urgency
Proven ability to take initiative in ensuring key activities & timelines are met according to project plans
An agile team player, readily adapting to and driving change
A collaborative partner working with teams to support a diverse and inclusive environment
A natural problem-solver and goal-getter who is also intuitively analytical and creative
Displays confidentiality, diplomacy and tact at all times
