POSITION TITLE: Records Clerk
SUPERVISOR: Manager, Information Services
SALARY RANGE: Job Class III ($65,393.120 - $77,255.360 2026 Rates)
POSITION SUMMARY:

FUNCTIONAL RESPONSIBLITIES
- Processing crown briefs upon completion in court, including their filing, storage and purging.
- Receiving and processing all fingerprint forms and all RCMP criminal record information.
- Recording and maintaining records pertaining to seized exhibits for court purposes and lost and found property including disposal forms for disposition of property.
- Retrieving and sending reports to Probation and Parole, VCARS Sub Office and other police services.
- Creating and maintaining files for appeals, destruction of prints, pardons, deaths and parolees for both adult and young persons.
- Accessing RMS NICHE/CPIC for general inquiries.
- Performing general office duties such as typing, filing, telephone and public inquiries.
- Processing lost and found bicycles and maintaining all records for bicycle register.
- Purging incident files and crown brief in storage prior to e-brief system.
- Training summer students responsible for bicycle pick-up program.
- Storing officer’s notebooks and maintain an inventory of notebooks held for duration of retention period upon employee’s retirement, resignation or termination
- Recommending revisions and maintain records inventory and the Sault Ste. Marie Police Service Records Retention By-Law and appended schedules. Coordinating the transport and destruction of all records in accordance with policy and the records retention by-law ensuring all necessary documentation is complete. Maintaining record of destruction file.
- Performing any other duties as assigned by supervisor.
