Overview
Abbeydale Medical Clinic is a busy, patient-centred family medicine clinic in NE Calgary. We are seeking an experienced, organized, and proactive Part-Time Clinic Manager to help oversee daily clinic operations, support our physicians and medical office assistants, improve workflows, and ensure the clinic runs efficiently and professionally.
This role is ideal for someone with strong medical clinic experience who enjoys problem-solving, staff coordination, process improvement, and working in a fast-paced healthcare environment. The successful candidate will be comfortable taking initiative, managing competing priorities, and supporting a positive experience for patients, physicians, staff, and external partners.
Key Responsibilities
Clinic Operations
- Oversee day-to-day clinic operations, patient flow, scheduling, reception processes, and administrative workflows.
- Help ensure the clinic is clean, organized, professional, and running efficiently.
- Monitor clinic supplies, equipment, maintenance issues, and ordering needs.
- Identify workflow gaps and implement practical improvements.
- Support smooth coordination between physicians, MOAs, allied health providers, and external partners.
Staff Supervision & HR Support
- Assist with hiring, onboarding, training, scheduling, and supervision of MOA staff.
- Help create and maintain staff schedules, including evening, weekend, holiday, sick-call, and vacation coverage.
- Support staff performance management, coaching, accountability, and conflict resolution.
- Ensure staff are following clinic policies, privacy standards, and patient service expectations.
- Promote a respectful, professional, team-oriented work environment.
Physician & Patient Support
- Support physicians with administrative processes, scheduling needs, billing workflows, patient flow, and clinic communication.
- Help resolve patient concerns or complaints in a calm, professional, and solution-focused manner.
- Ensure patients receive respectful, culturally sensitive, and efficient service.
- Assist with implementing patient communication workflows, reminders, recalls, and clinic policies.
Billing, EMR & Administrative Systems
- Support AHCIP billing workflows, claim rejections, WCB/private billing processes, and billing follow-up. Generate monthly summary reports for the owner.
- Assist with Accuro EMR workflows, templates, tasks, recalls, reporting, and system improvements.
- Coordinate with billing support services and ensure issues are addressed promptly.
- Help monitor administrative tasks to ensure they are completed accurately and on time.
Compliance, Privacy & Policies
- Help ensure compliance with Alberta privacy requirements, HIA, CPSA expectations, and internal clinic policies.
- Support staff training related to privacy, confidentiality, EMR access, patient communication, and clinic procedures.
- Assist with maintaining and improving SOPs, checklists, and clinic workflow documents.
- Help manage privacy incidents, patient complaints, and documentation when required.
Vendor & External Partner Coordination
- Liaise with external vendors and service providers, including IT, EMR support, billing support, phone/VOIP providers, cleaning, maintenance, advertising, website support, and supply companies.
- Troubleshoot operational issues and escalate when needed.
- Help ensure vendor-related tasks are completed efficiently and with minimal clinic disruption.
Qualifications
Required
- Previous experience in a medical clinic, family medicine clinic, or healthcare office setting.
- Strong understanding of medical office operations, patient flow, scheduling, and physician support.
- Leadership, supervisory, or team coordination experience.
- Excellent communication, organization, and problem-solving skills.
- Ability to manage multiple priorities in a busy, fast-paced environment.
- Professional, reliable, mature, and able to work independently.
- Comfortable addressing staff issues, patient concerns, and operational challenges.
- Strong computer skills and ability to learn new systems quickly.
Strong Assets
- Experience with Accuro EMR.
- Experience with AHCIP billing, WCB billing, private billing, or claim rejection follow-up.
- Experience hiring, training, scheduling, or supervising MOA staff.
- Familiarity with Alberta healthcare, CPSA standards, privacy requirements, and family medicine workflows.
- Experience with clinic policies, SOPs, recalls, screening programs, or quality improvement projects.
- Experience coordinating with external vendors such as IT, EMR, phone systems, billing support, or maintenance providers.
