Who We’re Looking For
The Executive & Operations Lead will work closely with the Director to support Spark Studios’ day-to-day operations and long-term growth.This role is ideal for someone who enjoys both thinking and doing — turning ideas into plans, plans into action, and action into results.
You will help:
- Determine next steps and create clear plans.
- Build systems and processes.
- Keep projects moving from idea to completion.
- Support communication between the Director and administrative/front desk team.
- Solve day-to-day problems and know when to escalate issues.
We are looking for someone who takes ownership, anticipates what needs to happen next, creates structure, solves problems, and follows through.The role will change throughout the year depending on Spark Studios’ seasonal priorities. Projects may include recital planning, enrolment systems, client experience, marketing, studio improvements, or new initiatives. The right person will enjoy variety while still bringing organization and consistency.

However, we care just as much about how you think, communicate, organize, and solve problems as we do about your previous job title.
Work Availability
- Approximately 30–35 hours per week depending on season and studio needs
- 3–4 weekdays per week
- 1 full weekend day
- Evening and weekend availability is required
- Schedule and priorities may shift throughout the dance season
What You’ll Be Responsible For:
Executive & Operations Support
- Work closely with the Director to turn ideas, goals, and initiatives into actionable plans.
- Help organize and prioritize projects across the studio.
- Take ownership of projects and move them forward from idea through completion.
- Anticipate next steps and identify what needs to happen without always waiting for detailed instruction.
- Research options, gather information, and help develop solutions when new ideas or challenges arise.
- Help manage the Director’s priorities, calendar, appointments, and occasional travel arrangements.
- Follow up on outstanding tasks and projects so important details do not fall through the cracks.
Systems, Processes & Problem Solving
- Develop, improve, document, and maintain studio systems and processes.
- Look for opportunities to make workflows more efficient, organized, and easier for the team to follow.
- Create checklists, templates, project plans, and standard operating procedures.
- Maintain project management tools such as Asana.
- Identify recurring problems and work toward long-term solutions rather than temporary fixes.
- Act as a first point of support for many operational questions before they need to reach the Director.
- Help the front desk/reception team troubleshoot situations and determine next steps.
- Use good judgment to determine what can be handled independently and what requires leadership involvement.
Projects, Events & Client Experience
Depending on the time of year, this role may be involved in recitals and performances, photo days, open houses, themed studio weeks, company events, registration and enrolment campaigns, studio improvements, marketing initiatives, client experience projects, and new programs.Responsibilities may include:
- Creating project plans, timelines, and task lists.
- Coordinating schedules, supplies, décor, vendors, volunteers, signage, and logistics.
- Assigning and following up on tasks.
- Helping oversee event setup, execution, and wrap-up.
- Identifying potential issues in advance and finding solutions.
- Supporting and improving systems related to trials, onboarding, enrolment, communication, and retention.
- Tracking key metrics including leads, enrolments, withdrawals, and retention.
- Helping improve the overall customer experience for dancers and families.
Marketing, Communication & Administrative Support
- Help execute marketing campaigns related to studio programs, events, and enrolment.
- Support newsletters, promotions, contests, studio displays, and family communications.
- Help draft, organize, proofread, and schedule outgoing communication.
- Maintain templates and content within Canva, Google Workspace, Regained CRM, and other platforms.
- Provide warm, professional backup support at the front desk when needed.
- Complete basic data entry into QuickBooks or other accounting software.
- Coordinate costume, supply, and studio orders, pickups, or deliveries.
- Organize digital files and administrative information.
- Run occasional errands related to studio operations.
Technology
This position uses a variety of digital tools, including:
- Asana
- Google Workspace
- Dance Studio Pro
- Missive
- Canva
- Regained CRM
- QuickBooks
Experience with all of these programs is not required. However, you should be confident using technology, comfortable learning new systems, and interested in finding better ways to organize information and workflows.
