Position Summary
The Facilities & Maintenance Manager is responsible for the overall maintenance, cleanliness, appearance, and operational readiness of the clubhouse and surrounding property. This position oversees a small number of maintenance staff and ensures that all building systems, facilities, locker rooms, grounds, and clubhouse amenities are maintained to the highest standards. The Facilities & Maintenance Manager works closely with all departments to provide a safe, clean, and welcoming environment for members, guests, and staff while ensuring compliance with applicable health, safety, and regulatory requirements.
The successful candidate will proactively manage preventative maintenance programs, coordinate contractors and inspections, supervise cleaning and maintenance personnel, and respond to facility issues in a timely and professional manner. This role requires strong organizational skills, attention to detail, leadership ability, and a commitment to delivering an exceptional member experience.
Duties & Responsibilities
Facility Maintenance & Operations
- Oversee all building maintenance activities for the clubhouse, ensuring the facility is maintained in excellent condition both inside and outside.
- Supervise and coordinate the work of the maintenance team, ensuring tasks are completed efficiently and to established standards.
- Oversee night cleaning, daytime cleaning, and maintenance operations of the entire clubhouse, including the clubhouse surrounds.
- Conduct regular inspections of all facilities and grounds to identify maintenance requirements and address deficiencies promptly.
- Repair and maintain all areas of the property to the best of your ability and coordinate qualified contractors when specialized repairs are required.
- Change building light bulbs and perform routine maintenance as required.
- Book, coordinate, and oversee all required inspections, certifications, and service appointments.
- Act as the primary contact for the alarm monitoring company and security-related matters.
- Manage the distribution of keys and alarm codes to employees and maintain accurate records and access logs.
- Ensure all garbage, recycling, and bottle collection programs are managed effectively and in accordance with local regulations.
Clubhouse Surrounds & Exterior Areas
Oversee the maintenance, cleanliness, and appearance of all clubhouse surroundings, including:
- Entranceways and parking lots.
- Fence lines adjacent to the clubhouse.
- All landscaped areas surrounding the clubhouse, including seasonal and annual plantings.
- Patios, walkways, and other hardscape areas.
- Snack shack facilities.
- On-course washrooms and related facilities.
Locker Room Maintenance
- Oversee the cleanliness, organization, and maintenance of the men's and ladies' locker room facilities.
- Ensure locker rooms, washrooms, showers, and related amenities are cleaned, stocked, and maintained throughout the day.
- Coordinate and monitor locker room cleaning schedules and standards.
- Ensure towel service is maintained, including laundering, inventory control, and distribution.
- Ensure shoe service programs are provided for both men and ladies.
- Monitor locker room fixtures, lockers, plumbing, lighting, and equipment, ensuring repairs are completed promptly.
- Maintain a high standard of presentation and member experience in all locker room areas.
Housekeeping & Cleaning Standards
- Ensure washrooms throughout the facility are cleaned, stocked, and inspected regularly throughout the day.
- Coordinate window cleaning inside and outside the clubhouse as required.
- Launder towels, linens, and other clubhouse items as necessary.
- Empty recycling containers throughout the facility daily.
- Ensure daily dusting, vacuuming, and carpet cleaning standards are maintained.
- Monitor and replace entrance mats and carpets on a regular basis to ensure safety and appearance.
Team Leadership & Supervision
- Oversee and direct the maintenance staff and cleaning company, providing guidance, scheduling, training, and performance oversight.
- Establish and maintain cleaning and maintenance schedules to ensure efficient operations.
- Monitor staff performance and ensure adherence to club standards, policies, and safety procedures.
- Coordinate maintenance activities with other departments to minimize disruption to members and guests.
- Promote a culture of accountability, professionalism, and continuous improvement.
Preventative Maintenance & Compliance
- Administer and monitor preventative maintenance programs for clubhouse facilities and equipment.
- Ensure all Food & Beverage equipment, including glass washers, chairs, tables, air conditioning systems, sinks, toilets, and related assets, are maintained in excellent working condition through regular inspections and preventative maintenance procedures.
- Coordinate and oversee pest control services and maintain all required records for regulatory and Alberta Health Services (AHS) inspections and audits.
- Maintain accurate maintenance records, inspection reports, service logs, and compliance documentation.
- Ensure compliance with all applicable health, safety, and environmental regulations.
Additional Responsibilities
- Respond promptly to maintenance emergencies and facility-related concerns.
- Assist with special projects, club events, and facility improvements as required.
- Perform all other duties and assume additional responsibilities as assigned by the General Manager.
Qualifications & Skills
- Previous facility maintenance or building operations experience preferred.
- Demonstrated leadership and team supervision experience.
- Strong knowledge of building systems, preventative maintenance practices, and facility operations.
- Ability to coordinate contractors and service providers effectively.
- Excellent organizational, written and oral communication, and problem-solving skills.
- Ability to prioritize multiple tasks and respond to changing operational needs.
- Working knowledge of health, safety, and regulatory compliance requirements.
- Ability to perform physical work, including lifting, carrying, and operating maintenance equipment as required.
