Some of what you will do
As the Facilities Services Coordinator, you will remotely support all Canadian facilities with retail focus in a fast-paced environment. You will act as the daily contact for Retail and SBD sites, ensuring a seamless customer service oriented approach to Facility related questions, queries and requests. You will also provide feedback to Management on contractor relations and performance to ensure execution of daily and periodic tasks that support our locations. Each day will be fast-paced, challenging and meaningful.
Specifically, you will:
Ensure the timely execution of all demand repair and maintenance requests from Retail sites (including dark stores) and SBD (warehouse and corporate) site management. This includes assigning proper priority code, contractor selection, accurate synopsis of the problem and documented communication from creation of the work order to completion with the Total Maintenance System (TMS) database and to the field.
Quote Processing from Demand and Service and Maintenance programs (provide direction to sites by completing historical and financial analysis, obtain approval as needed (Capital or Expense items)).
Manage costs through the use of RFQ and monthly expense to budget reporting by site
Support disaster response
Manage contractor Relationships by reviewing monthly metrics, addressing areas of opportunities, providing contractor performance feedback to management and creating / managing Performance Improvement Plans for contractors that fail to meet our Terms and Conditions
Some of what you need
5+ years of in facility maintenance experience
Education in the fields of Office administration and Health and Safety training is an asset
Knowledge of CMMS (computerized maintenance management software) – Work Order/Purchase Order creation, adding new and updating existing equipment, locations, preventive maintenance tasks and schedules
Solid knowledge of best practices in facility management and maintenance business work processes
Ability to review and interpret financial data and proposals for viability
General knowledge of building systems, construction practices, building/fire code
General knowledge of health & safety relating to work assigned to associates and contractors
Ability to hold contractors accountable and to set reasonable and measurable performance expectations
Strong project management and customer service skills
