Established in 1922 as a private golf club, The Thornhill Club has evolved into a distinguished all-season destination with a rich history and a commitment to excellence. The expansion into year-round activities began in 1963 with the addition of a curling rink, transforming our club into a versatile haven for members. Today, our facilities boast an eighteen-hole championship golf course, a nine-hole executive golf course, a curling rink, a full fitness facility, outdoor tennis courts, golf practice areas, a banquet hall and boardroom style rooms for private functions, and of course the clubhouse.
Job Summary
As the Membership and Administrative Assistant, we are looking for a positive and vibrant person to work with and assist the Administrative and Accounting team.
Key Responsibilities
Administration
- Prepare and distribute monthly overdue account reminders, and follow up on outstanding balances when required.
- Perform detailed data entry and maintain accuracy when updating member account adjustments, credits, and corrections.
- Manage billing and registration data for seasonal programs, including Camps, Tennis, and Curling.
- Process credit card payments accurately over the phone.
- Respond to member inquiries via phone and email in a timely, professional, and courteous manner.
- Handle day-to-day member account support, including investigating billing discrepancies and resolving basic account issues.
- Prepare and issue gift certificates for curling and tennis prizes, ensuring accuracy and proper tracking.
- Maintain, update, and organize physical and digital membership records and archives in accordance with internal procedures.
- Assist with month-end administrative tasks and support reconciliation processes as required.
- Perform general administrative duties including filing, document preparation, and ad hoc reporting as needed.
- Provide support for special projects and additional tasks assigned by management.
Qualifications
- Minimum 2 years of customer service experience (required).
- Excellent communication skills, both written and verbal.
- Basic understanding of accounting principles (asset).
- Strong attention to detail and accuracy in data entry and record keeping.
- Ability to handle sensitive financial and member information with confidentiality.
- Strong organizational skills with the ability to manage multiple tasks and deadlines.
- Proficient in Microsoft Office (Excel, Word, Outlook).
- Team-oriented with a professional and service-focused attitude.
Position/Perks

- Hourly compensation of $20.00-$22.00 per hour.
