This role, reporting to the Senior Project Manager, Global Communications Operations, supports the financial and operational management of Global Communications and is responsible for overseeing vendor administration, budget reporting, contract coordination, and helping execute against our financial governance.
The Specialist, Global Communications Finance is responsible for ensuring accurate tracking across communications vendors, contracts, renewals, invoices, chargebacks, and monthly budget reporting, while partnering closely with Procurement, Finance, and Global Communications team contract owners. This role requires attention to detail, the ability proactively work with a number of stakeholders, and a solid understanding of Fieldglass and financial reconciliation processes.
Position Responsibilities:
Partnering with Procurement, manage end-to-end relationships and processes across Global Communications vendors, ensuring timely follow-up, service continuity, reinforcing our vendor governance.
Partner closely with Procurement, Finance, People Communications, and the Global Communications team to support vendor onboarding, statement of work administration, renewals, and issue resolution.
Monitor vendor contracts and renewal timelines, partnering with Procurement and internal stakeholders to ensure renewals are proactively managed and aligned to business needs.
Maintain a strong working knowledge of Fieldglass, Accounts Payable, and related procurement or finance systems to support vendor set-up, purchase order management, and invoice processing.
Track and reconcile vendor invoices, purchase orders, and related financial records to ensure accuracy, completeness, and timely payment.
Support monthly budget reporting through consistent, on-time delivery of reports, expense cross-referencing, variance review, and accurate financial tracking.
Work with Finance to reconcile accounts, investigate discrepancies, and ensure appropriate coding and allocation of costs.
Coordinate with Finance and business partners to manage chargebacks to other cost centres, ensuring accuracy, transparency, and timeliness.
Maintain accurate records and governance across all agencies and vendor activity, including contracts, statements of work, invoices, renewals, and approvals.
Identify opportunities to improve processes, strengthen controls, and scale finance and vendor management responsibilities effectively across Global Communications.
Provide reliable operational support and reporting that enables leaders to make informed budget and vendor decisions.
Required Qualifications:
Minimum of 4 years of experience in Finance, Operations, Procurement, Vendor Management, or a related business support role.
Strong stakeholder management skills, with the ability to manage multiple timelines.
Ability to work collaboratively in a fast-paced environment with Procurement, Finance, and business teams.
Strong understanding of Fieldglass; experience working with Procurement, invoicing, or agency billing systems is an asset.
Preferred Qualifications:
Bachelor’s degree in Business Administration, Finance, Accounting, or a related field, or equivalent practical experience
Demonstrated ability to reconcile accounts, review invoices, track budgets, and maintain accurate financial records.
Strong analytical skills and attention to detail, with a high degree of accuracy in reporting and financial administration.
Ability to manage chargebacks, budget tracking, and reporting processes with consistency and discipline.
Excellent communication and relationship management skills, with the ability to work effectively across global and cross-functional teams.
Proficiency in Microsoft Excel, Fieldglass, and related reporting tools.
Organized, proactive, and able to manage competing priorities while meeting recurring deadlines.
