Executive Assistant
Location: Oakville, ON (Hybrid) Date: June 2024
JOB PURPOSE
We are seeking a highly organized and detail-oriented individual to join our team as an Executive support and administrative duties. In this role, you will provide comprehensive support to the CEO, CFO & EVP, IT along with direct senior leadership team while also managing administrative tasks efficiently. The ideal candidate will possess exceptional communication skills, be adept at multitasking, and thrive in a fast-paced environment

SPECIFIC ACCOUNTABILITIES
Manage executive calendars, including scheduling appointments, meetings, and travel arrangements.
Coordinate and prepare materials for meetings, presentations, and conferences.
Act as a liaison between executives and internal/external stakeholders, ensuring timely communication and follow-up.
Handle sensitive and confidential information with discretion and professionalism.
Conduct research and compile data as needed to support executive decision-making.
Oversee day-to-day office operations to ensure efficiency and productivity.
Manage office supplies inventory and procurement, anticipating needs and ordering supplies as necessary.
Supervise office staff, delegating tasks and providing guidance as needed.
Maintain office equipment and troubleshoot any issues that arise.
Coordinate office events and activities, such as meetings, luncheons, and celebrations.
Prepare and edit documents, reports, and presentations with accuracy and attention to detail.
Organize and maintain paper and electronic files, ensuring accessibility and confidentiality.
Assist with financial tasks, such as expense reporting, invoicing, and budget tracking.
Handle miscellaneous administrative duties, including mail distribution, faxing, and filing.
WORKING RELATIONSHIPS
Reports to:
CEO, CFO & EVP, IT
The Executive Assistant will build relationships with other Finance, FP&A, IT and People & Culture Senior Managers as well as internal/external stakeholders.
DIMENSIONS
Provides effective coordination and administrative support for the CFO & EVP IT and their associated teams.
WORKING ENVIRONMENT
Physical Effort: Office environment- extended periods of sitting & computer use. There is occasional need to move light articles.
Physical Environment: Works in a temperature controlled office environment.
Sensory Attention: High-level attention to detail required, fast pace of work, high level of confidentiality.
Mental Stress: Pressure to complete tasks on time and being available outside of regular working hours; ability to balance conflicting priorities.
SKILLS, KNOWLEDGE, EXPERIENCE
Business degree /diploma, or a combination of education and progressively responsible experience.
Minimum 3 years of direct work experience in an Executive Assistant capacity supporting Executives.
Strong knowledge of executive office procedures.
Superior time management and prioritization skills with minimal supervision.
High degree of sound and independent judgment, reasoning, and discretion while dealing with sensitive information.
Demonstrated maturity to manage items with a high degree of confidentiality.
Present a positive and professional image of the executive office to all visitors, suppliers, inquiries, and any other public interactions.
Skilled in taking and transcribing letters, memos, announcements, and minutes.
Proficient in Microsoft office (Word, Excel, Outlook, Power Point, Access).
