We are seeking an organized, proactive, and dependable Executive Assistant & Operations Coordinator to support a busy professional and family with a wide variety of administrative, organizational, and operational responsibilities.
This is a unique role for someone who enjoys variety, problem-solving, and helping keep multiple projects and priorities running smoothly. No two days are exactly the same.
The ideal candidate is highly organized, adaptable, detail-oriented, and capable of managing multiple responsibilities simultaneously while maintaining professionalism and confidentiality.
Responsibilities may include:
- Administrative support and document preparation
- Calendar and schedule management
- Coordinating appointments, meetings, and services
- Research and information gathering
- Project coordination and follow-up including organizing/running research projects
- Managing records and organizational systems
- Communicating with clients, vendors, contractors, and service providers
- Inventory and supply management
- Assisting with process improvement and workflow organization
- General operational support across a variety of projects
- Household and personal assistance tasks
Qualifications:
- Excellent organizational skills
- Strong written and verbal communication skills
- Ability to prioritize and manage multiple responsibilities
- Strong attention to detail
- Comfortable learning new software and technology
- Proficient with Microsoft Office, ChatGPT and Google Workspace
- Self-motivated and able to work independently
- Professional, trustworthy, and reliable
- Valid driver's licence and access to a vehicle preferred
