ABOUT THE ROLE
We are a custom home building company in Toronto looking for a highly organized Project Coordinator to support our team through every stage of the build process. You'll work closely with our project managers, site supervisors, clients, designers, and architects to keep projects on budget, on schedule, and moving smoothly day to day. This role is ideal for someone who already understands how custom homes come together — from initial estimates through to final walkthrough, and who thrives on structure, detail, and follow-through.
WHAT YOU'LL DO
- Track and organize project estimates and proposals, ensuring versions, approvals, and client sign-offs are accurate and up to date.
- Monitor project budgets against actuals, flag variances early, and help keep spending aligned with approved scope.
- Manage the RFI (Request for Information) process - logging, routing, and following up on requests between designers, architects, trades, and the site team so nothing stalls a build.
- Maintain project schedules and coordinate timelines across trades, suppliers, and consultants.
- Act as a day-to-day point of contact for project documentation, keeping files, drawings, permits, and change orders organized and accessible.
- Support procurement by tracking material orders, lead times, and delivery schedules.
- Prepare status updates and meeting notes for internal team and client check-ins.
- Assist with general project administration and problem-solving to keep sites running efficiently.
WHAT YOU BRING
- Experience working in custom home building, residential construction, or high-end renovations- you understand the process, the players, and the pace.
- Strong organizational skills with real attention to detail; comfortable managing multiple projects and priorities at once.
- Working knowledge of budgets, estimates, and proposals in a construction context.
- Experience coordinating RFIs and communicating with architects and designers.
- Clear, professional written and verbal communication.
- Comfortable with project management or scheduling software (e.g., Buildertrend), plus Excel/Sheets.
- A proactive, solutions-oriented mindset, you spot problems before they become delays.
- Valid driver's license and ability to visit job sites in and around the Toronto area as needed.
NICE TO HAVE
- Post-secondary education or certification in construction management, project management, or a related field.
- Familiarity with Ontario building permit and inspection processes.
Pay: $65,000.00-$85,000.00 per year
