EDUCATION AND EXPERIENCE
Post-secondary diploma (or higher) in Office Management, Business Administration, Public Administration or related field; OR an equivalent combination of education and minimum four (4) years of related experience* may be considered.
Related experience must include all of the following:
Experience working in a senior administrative position within an executive office setting.
Experience drafting, editing coordinating briefing materials, reports and correspondence in a time-sensitive, fast paced work environment.
Extensive experience managing an Executive’s calendar and email communication.
Demonstrated experience in establishing and maintaining operational and administrative processes, procedures and records management systems.
Experience dealing with senior executive members on a daily basis.
Extensive experience and demonstrated competency working with a variety of computer applications, such as PowerPoint, Excel, MS Word, MS Exchange, electronic time management systems, electronic mail tracking systems, and other related computer skills working in a Windows and web environment.
Preference may be given to candidates with one or more of the following:
Three to five years experience managing and supervising the work of administrative staff.
OTHER REQUIREMENTS
Excellent knowledge of office administration procedures and practices.
Knowledge of Freedom of Information Act and its application to correspondence and information requests.
Knowledge of provincial and municipal government organizations and recognized procedures.
Excellent organizational and oral and written communication, drafting and editing skills.
Excellent communication and interpersonal skills to deal effectively with officials at the most senior levels.
Ability to provide options and recommendations to the VP and other senior staff.
Proven performance and experience in policy and procedure administration, office systems formulation and project research.
Ability to work independently with limited supervision within a team environment.
Ability to provide leadership and coordinate projects involving colleagues.
Ability to plan, coordinate and organize high volumes of work accurately and under pressure and work effectively within established deadlines.
Ability to exercise independence, initiative, strict confidentiality, discretion and using judgement, tact, and diplomacy when analyzing complex issues and dealing with sensitive matters.
Ability to prepare and handle sensitive and confidential situations, correspondence, information, meeting minutes/agendas.
Ability to make travel arrangements, provincially, nationally, and internationally.
