We are seeking an experienced, energetic and self-motivated individual to provide administrative support to our Senior Event Planners.
The candidate should have a Post-secondary education relevant to the catering industry, have a passion for food, be creative, and have awareness of emerging trends.
In the Roll you will be expected to:
1. Maintain and complete Sales Folder Checklist, including:
· Processing of deposits
· Booking Service Staff
· Scheduling of client meetings and menu tastings
· Processing of SOPs
· Submitting Signage Requests
· Be available to go on-site evenings and weekends to manage events on behalf of Senior Event Planners.
· Issuing Staff Event notes
· Manage Tasting Photos
· Floor Plans and Event Storyboards
2. File all data consistently and accurately
3. Prepare reports for event planners and management
- Create, maintain and develop existing and new customers through appropriate proposals and ethical sales methods to optimize quality of service, business growth, and customer satisfaction with accurate pricing while planning and selling catered events with in-house prepared food product using established seasonal menus and current menu items
- Recognize and up-sell peripherals, if needed, including but not limited to: Event Staff; Rental Equipment; Flowers; and Beverages (alcoholic and non-alcoholic). Be aware when an event is out of your scope/skill set and pass on or request help as needed
- Develop and maintain strong relationships with existing venues as needed
- Communicate with the client in a way that represents the company well
8. Prioritize workflow daily according to changing needs
9. Operating various office machines, including: postage meter, debit/credit card system, fax, printer/copier
10. Maintain punctuality, personal appearance and adherence to relevant Health & Safety and AODA procedures
11. Perform other tasks as required, including, but not limited to:
· Coordinating/tracking deliveries
· Reception duties (answering phones, entering inquiries, order runs, etc)
· Field small orders from the general inquiry line.
Qualifications, Skills and Abilities:
· Post-secondary education in discipline pertinent to the job function or equivalent experience
· Proficiency in all Microsoft Office application
· Must be available to work outside of normal business hours, including evenings, weekends and holidays (as required)
· Strong organizational skills including the ability to prioritize, problem solve and adapt seamlessly to changing circumstances
· Ability to meet deadlines in a fast paced environment
· Able to work both independently and as part of a team
· Excellent communication skills

Pay: $20.00-$23.00 per hour
