Position Overview
Our team is ready to take its next step by bringing on a Client Service Coordinator that cares for our clients in the same way that we do, and has a knack for detail. You’ll be a key contributor on our team that keeps the engine running with crucial tasks and details, supporting our team and clients alike. In simple terms, you’ll support the daily operations of our financial advisory practice, making a significant impact on our client experience. As a Client Service Coordinator on our team, you’ll work with our team to drive client satisfaction and operational excellence, playing an integral part in helping clients achieve their financial goals.
Key Accountabilities
- Administrative Support ~ 45%
- Support financial advisors by scheduling appointments, preparing client documentation, and maintaining accurate records.
- Coordinate and manage calendars for financial advisors, ensuring efficient time management and prioritization of tasks.
- Prepare and organize meeting materials, including agendas, reports, and presentations for client and team meetings.
- Assist with the preparation and processing of client accounts, including account openings, transfers, and other financial transactions.
- Organize and coordinate client events, seminars, and webinars, including sending invitations, managing RSVPs, and arranging logistics.
- Prepare and distribute daily reporting and recurring weekly, monthly, and yearly tasks.
- Client Interaction ~ 20%
- Manage incoming and outgoing correspondence, including emails and phone calls, ensuring and accurate responses.
- Communicate directly with clients regarding meeting requests, appointment follow-ups, requested information, and additional tasks to support our advisors.
- Track all client interactions within our CRM.
- Data Management ~ 10%
- Maintain a well-organized filing system for both electronic and paper records, ensuring easy access and retrieval of information.
- Update and manage client information in our CRM system, ensuring data accuracy and confidentiality.
- Organize and keep company records and reference files up to date – monitoring and updating processes, recurring tasks, and client files.
- Compliance ~ 10%
- Support the compliance process by ensuring all client documentation meets regulatory standards and is properly filed.
- Work with back offices to ensure instructions submitted by the team are completed in compliance with regulations. Assist with the preparation and tracking of invoices, expense reports, and reimbursements.
- Transaction Processing ~ 5%
- Complete trades through our internal system, once given direction from financial advisors.
- Monitor client accounts, informing advisors of anything that may require action or attention.
Required Skills & Experience
- Minimum post-secondary degree or diploma, preferably in business, administration, or similar.
- Completion of Canadian Securities Course or willingness to obtain multiple courses required for securities licensing, an asset.
- Minimum of 5 years of experience in a customer service or administrative role, ideally within the financial services industry.
- Ability to work with clients, providing exceptional and consistent customer care.
- Strong organizational and multitasking abilities and exceptional verbal and written communication skills.
- High attention to detail and accuracy.
- Proficiency in Microsoft Office Suite (Word, Excel, Outlook).
- Familiarity with or previous experience using financial CRM systems is a plus.
- Maintain client confidentiality and security with respect to client information.
- Comfortable with daily internal video calls, phone calls, and emails to ensure strong team communication.
