We are seeking a highly organized and professional Legal Assistant to join our team and assist with residential and commercial real estate matters.
Position Summary
The Legal Assistant will provide administrative and legal support to lawyers practicing in real estate law. The successful candidate will manage files from opening to closing, communicate with clients and third parties, prepare legal documents, and ensure transactions are completed accurately and efficiently.
Key Responsibilities
- Open, organize, and maintain real estate files.
- Prepare and review legal documents related to residential and commercial real estate transactions.
- Draft correspondence, closing documents, and reports.
- Coordinate with clients, realtors, lenders, municipalities, and other law firms.
- Conduct title, corporate, and property searches as required.
- Prepare statements of adjustments and trust-related documentation.
- Schedule appointments, meetings, and transaction deadlines.
- Manage incoming and outgoing correspondence, emails, and telephone inquiries.
- Maintain accurate records and document management systems.
- Assist lawyers with file management and transaction closings.
- Ensure compliance with applicable legal and regulatory requirements.
- Perform general administrative duties to support the legal team.
Qualifications
- Legal Assistant, Paralegal, or related post-secondary education preferred.
- Minimum of 1 year of experience in a legal assistant role, preferably in real estate law.
- Knowledge of residential and commercial real estate transactions.
- Experience with legal practice management software and Microsoft Office Suite.
- Familiarity with title search systems and land registry procedures is an asset.
- Excellent written and verbal communication skills.
- Strong organizational skills and attention to detail.
- Ability to manage multiple files and deadlines in a fast-paced environment.
- Professional demeanor and strong client-service orientation.
- Ability to work independently and as part of a team.
Preferred Skills
- Experience preparing purchase, sale, mortgage, refinancing, and transfer documents.
- Knowledge of trust accounting procedures.
