As a Junior Legal Assistant at Diamond and Diamond Personal Injury Lawyers, you will be an integral part of our team, assisting in various legal and administrative tasks. This role is open to recent graduates and new legal assistants who are eager to kickstart their legal careers and grow within a reputable law firm.
The role of a Junior Legal Assistant consists of the following:
- Answering and directing emails, phone calls, and in-person inquiries with professionalism and courtesy
- Perform general reception duties, including managing incoming calls, mails/couriers and maintaining the front desk and boardroom.
- Attentively listen to lawyers when they provide instructions, clarifications, or guidelines for specific cases or tasks
- Process data entry for the opening, maintaining, and closing of files
- Meet with potential clients, complete the file intake, and ensure all required information is received with respect to a claim
- Conduct conflict checks in a timely manner to ensure compliance
- Ensure all Client Identification and Verification is completed and up to date
- Coordinating and monitoring administrative functions to ensure work is completed accurately and within established time frames
- Preparing undertakings list, following-up on productions and undertakings
- Receiving, acting on, and archiving reports, emails, faxes, letters, and other forms of correspondence
- Scanning and uploading documents into file management systems
- Forwarding communication to the correct party, whether internal or external
Experience/Skills:
- Legal Assistant and/ or Paralegal Diploma is an asset
- Excellent grammar, spelling and proofreading skills
- Able to work independently with minimal supervision
- Strong technical skills and proficient in Microsoft Office and Outlook
- A team player who works well under pressure
- Able to take initiative, set priorities and multitask
- Flexibility and adaptability are essential
