Unit/Project Description:
The Office of the Associate Dean (Academic) supports nearly 5,000 undergraduate students registered in programs offered by 12 academic units. The Office of the Associate Dean (Academic) handles the admission, academic advising, enrollment and reviewing of all undergraduate students in the Faculty of Social Sciences. It is also the home for the Experiential Education initiatives offered by the Faculty of Social Sciences to our students including the coordination of course placements, internships, and career preparation opportunities.
Job Summary:
Responsible for the planning, development, and implementation of recruitment and promotion initiatives to attract applicants to
an academic program.
Purpose and Key Functions:
- Develops an annual recruitment and promotion strategic plan including all promotional activities, advertising,
recruitment materials, and personnel support.
- Assesses existing strategies and recommends modifications as required.
- Develops, positions, and communicates branding for the program.
- Develops project specific budgets for review and approval by management.
- Reviews existing target markets and identifies new markets for the various program streams.
- Conducts research and market intelligence surveys.
- Leads and administers articulation agreements with other institutions and reports to the Dean and Provost on progress.
- Facilitates articulation agreement renewals.
- Seeks out and identifies other articulation opportunities.
- Consults with Chairs regarding potential changes to existing agreements.
- Collaborates with program chairs to draft student survey questionnaires.
- Distributes questionnaires, retrieves completed surveys from students, and compiles and presents data to program
chairs.
- Writes content for communication materials.
- Develops and delivers presentations to various audiences.
- Represents the program at recruitment events and liaises with secondary school teachers, guidance counselors,
prospective students, and parents.
- Organizes and coordinates special events, job fairs, and visits to schools and businesses.
- Identifies the need for contract personnel support and facilitates the process to hire the staff.
- Conducts program specific tours.
- Recruits, trains, and supervises volunteers for a variety of program events.
- Creates and maintains databases to input, store, and retrieve information on prospective students.
- Monitors and updates content on the program website.
- Provides recommendations as to which social mediums to use or create.
- Develops and maintains social media platforms
- Establishes positive relationships with feeder schools, program alumni, and companies.
- Identifies job opportunities and educates students about what is available to them.
- Provides students with information about the various career possibilities the program provides.
- Liaises with external partners and suppliers.
- Sources vendors and obtains pricing information.
- Responds independently to program inquiries.
- Remains current with frequent developments in social media platforms and trends in the communication field.
Supervision:
- Ensures adherence to quality standards and procedures for short-term staff and volunteers.

- A typical work day consists of greater than 3.5 hours of low physical effort for activities such as:
o Intermittent periods of keyboarding to word process documents and inputting data into a database.
- Elements of moderate physical effort are not a regular feature of this job.

- A typical work day occasionally requires routine mental effort for activities such as:
o Collecting routine information to respond to inquiries, word processing routine documents, and inputting data
into a database.

o Reviewing existing target markets and identifies new markets for the various program streams.
o Conducting research and market intelligence surveys.
o Administering articulation agreements with other institutions and reporting to the Dean and Provost on
