Associate Registrar

This position reports to the Registrar, UNB Saint John campus, of the University of New Brunswick. The Associate Registrar is responsible for successful operations of all services related to student records, admission, and transfer processes for all full and part-time undergraduate students, and receipting processes for all students and the general campus, while supporting UNB regulations, procedures and UNB Saint John’s strategic goals.
Representative Responsibilities
  • Management of business operations and systems, services for students and the general campus.
  • Maintenance of procedures and services to meet UNB regulations, privacy requirements and UNB service goals.
  • Monitor and adjust procedures to adhere to UNB regulations through shifting timelines and systems updates and changes.
  • Advise on vulnerabilities, and best practices.
  • Implement new business processes to meet regulations and services expectations, while upholding privacy requirements and data integrity.
  • Track and report on processes, admissions, enrolments and goals.
  • Participate in the Senate Student Appeals Committee as a representative of the Office of the Registrar. Manage files for the Senate Student Appeals Committee.
  • Advise faculty, staff and students regarding regulations and processes supporting the appeals process.
  • Coordinate appeals files with Student Services and other student support units.
  • Participate in the Data Management Working Group on behalf of the Office of the Registrar.
  • Supervision of staff, including balancing staffing complements, distribution of project oversight, setting priorities according to work flow, and academic time lines.
  • Address and resolve unique student files, including grade review processes, record errors, unique admission files and receipting processes.
  • Communicate with faculty advisors, academic departments and support services to coordinate services and service goals.
  • Other duties as assigned.
  • Bachelor degree in related field is required.
  • Minimum of five years of work experience in a University environment, with increasing levels of responsibility, including supervisory experience.
  • Excellent communication and interpersonal skills.
  • Experience managing multiple projects and challenging timelines.
  • Experience with Microsoft Suite, database systems required.
  • Experience with Ellucian products, including Colleague would be preferred.
