ARC Document Solutions provides high quality printed images and communication graphics to more than 90,000 customers worldwide. Our ARC/Riot Print Center in Etobicoke, ON is looking for an experienced Sales Support Specialist to join our team.
The Sales Support Specialist serves as a key link between our customers and production operations—managing orders from initial inquiry through to completion, generating estimates, and ensuring every customer receives timely and professional communication. This role requires an individual who thrives in a fast-paced environment, naturally enjoys solving problems, and takes pride in keeping projects highly organized and strictly on schedule to deliver an exceptional client experience.
Key Responsibilities
Client Management & Communication

Primary Contact: Serve as the main point of contact for clients, handling all inbound/outbound calls and emails inquiries.

Consultative Service: Advise clients on available print services, paper stocks, finishes, bindings, and cost-effective printing options.

Issue Resolution: Proactively resolve customer complaints, shipping delays, or billing discrepancies with a solutions-oriented approach.
Estimating and Order Intake

Specification Gathering: Collect detailed project requirements (dimensions, colors, quantities, and installation deadlines) to generate accurate quotes.

Quote & Estimate Generation: Build accurate cost estimates and quotes using project specifications and internal pricing tools to support the sales team.

Order Entry: Input finalized orders into the Management Information System (MIS) with high attention to detail.

File Verification: Coordinate with Prepress to ensure client artwork files meet technical production standards.
Production Coordination & Workflow

Internal Liaison: Collaborate closely with Prepress, Production, Bindery, and Shipping to ensure jobs stay on schedule.

Proofing Management: Facilitate the approval process by delivering proofs to clients and tracking their signoffs.

Status Tracking: Monitor the production floor to provide real-time project updates to clients and stakeholders.
Logistics & Post-Production

Shipping Coordination: Verify delivery addresses, kitting/fulfillment requirements, and preferred shipping methods.

Invoicing Support: Ensure accurate post-job costing and review final billing details before invoicing.
Job Requirements
- Experience: 2+ years of experience in customer service, sales support, or account coordination, ideally within the print manufacturing, packaging, or signage industries.

Industry Knowledge: Solid understanding of commercial print processes, including paper stocks, finishes, bindery methods, and prepress file requirements.

Technical Proficiency: Proven experience working with Print Management Information Systems (MIS).

Communication Skills: Strong verbal and written communication skills with the ability to handle heavy inbound/outbound phone and email volume professionally.

Math & Analytical Skills: Ability to collect technical specifications, calculate project variables, and utilize internal pricing tools to generate accurate cost estimates.

Project Coordination: Demonstrated ability to manage multiple projects simultaneously from order intake through to shipping and final invoicing.
