Our medium sized Engineering company is currently seeking an Administrative Assistant to work at our new Mississauga location, 37.50 Hours a week. Monday to Friday.
Reporting to the Office Manager, this person will be responsible for the following job duties:
Position Responsibilities:
- Format Proposals and Reports to be distributed to Clients;
- Create Invoices for clients;
- Setting up proposal and projects into ADP and QuickBooks;
- Entering and tracking vendor invoices;
- Data entry;
- Order, stock and maintain office supplies;
- Manage incoming/outgoing mail: Prepare, pick-up and manage delivery of mail and courier packages;
- Organization of internal filing system;
- Assisting in bi-weekly payroll (timesheet and expense entries);
- Create and distribute various company/office announcements via email;
- Assisting in New Hire process;
- Communicate and correspond with off-site IT provider;
- Schedule, book & organize team and client meetings etc.;
- Assisting all staff with various ongoing tasks.
Job Requirements
Skills, Knowledge, and Qualifications:
- In depth knowledge of MSOffice 365 (Outlook, Word and Excel) and Adobe Writer skills are required;
- Have excellent interpersonal skills, ability to interact with employees, and all levels of management;
- Possess problem solving, conflict resolution and decision-making skills;
- Excellent written/oral communication and excellent listening skills;
- Works well independently and in a team environment;
- Strong organizational skills, able to prioritize;
- Ability to multi-task, excellent time management skills and detailed orientated;
- Ability to take initiative when required;
- Minimum 2 -3 years prior experience in an Administrative role is preferred;
- G License is required
