The Administrative Assistant- Finance is responsible for providing administrative support to Envision’s Management Team, in order to ensure that operations and programming of Envision are maintained in an effective, efficient and accurate manner. It is an expectation of this position to maintain the highest level of confidentiality at all times.
Qualifications:
- Grade 12 and an Accounting / Bookkeeping diploma or degree, or equivalent work experience
- Ability to perform tasks to achieve outcomes and meet deadlines
- Computer Literacy level to respond to the requirements of the position
- Organizational and interpersonal skills
- Ability to work autonomously and in collaboration with other professionals
- Reliability and flexibility to meet the demands of the position
- Effective decision making skills

Duties and responsibilities may include:
The Administrative Assistant is responsible for adhering to any Personnel and Procedures as set by the Envision Board of Directors.
1. Administration duties:
- Envision Events Admin (Location, Registrations, Receipts, etc.)
- Create & oversee maintenance of financial databases as required
- Facility Upkeep
- Paths cell phone management
- Assist with AGM preparation
2. Team:
- Attend staff meetings/staff planning
- Work effectively with administration team members
- Work effectively with other community resources
3. Financial:
- Banking (Manual Deposits, Direct Deposit Confirm)
- Money Management – maintain master receipt books and all financial records
- Canada Helps donor management - financial tracking, reporting, updating and maintaining
- Monthly budget tracking
- Issuing & tracking of charitable receipts
- Maintain gift card inventory & database
- Quick books data entry including maintaining accounts payable and receivable
- Monthly account reconciliation of bank accounts and Mastercard’s
- Maintaining designated donations listing
- Support audit prep
- Administer payroll and employee expenses through PayWorks
- Maintain payroll records
- Process authorized payroll related changes
- Support regulatory reporting requirements (WCB employer and employee taxes, Employee benefit remittance.
- Audit preparations – Master receipt books, Canada Helps, charitable, & gift cards
- Agency Audit support
4. Resource Development:
- Donations (monetary and non-monetary) acknowledgement
- Donor engagement (database, newsletter support, recognition)
- Assisting with grant writing & research as needed
- Maintain grant database & deadline tracking
- Sponsorship networking, packages and tracking
5. Contract Services Financial Maintenance:
- EAP/EFAP/FFS/FS processing appointments, receipts, billing & tracking
- Other invoiced income - invoicing, payments & tracking
6. Reporting to Funders and Evaluation:
- Collect and provide statistical/performance/operational reports in the format approved by the funders, which will include a description of program activities and work plans
- Tracking, preparing and submission of all quarterly/ annual funder reports
7. General Administration and Office Duties including:
- Attend staff meetings
- Assist in maintenance of office cleanliness and provide general office support as required
- Additional duties as assigned
8. Fundraising:
- Annual Fundraiser Organization, Prep, Participation, financial tracking
9. Professional Development:
- Participate in training and educational opportunities
- Keep abreast of developments in research and information technology
10. Strategic Plan:
- Assist with tasks related to Envision's strategic plan and priorities as they pertain to this position and the organization as a whole.
- Actively participate in the identification of strengths and improvement areas of the position, program and organization as a whole.
