About Us
Rossano Property Management is a well-established property management company with a diverse portfolio throughout the Lower Mainland. Our portfolio includes residential apartment buildings, commercial retail and office space, industrial warehouses, and Single Room Occupancy (SRO) buildings in Vancouver's Downtown Eastside, along with a variety of mixed-use properties.
We are looking for a highly organized, motivated, and results-driven Leasing & Vacancy Coordinator to take ownership of our leasing operations and help reduce vacancies across our portfolio.
This is a fast-paced role for someone who enjoys working with people, is comfortable managing multiple priorities, and understands that filling quality tenancies quickly is critical to the success of the business.
Position Summary
The Leasing & Vacancy Coordinator will be responsible for overseeing all aspects of the leasing process from the moment a vacancy becomes available until a lease is signed and the tenant has moved in.
This position works closely with our Property Managers, Building Managers, maintenance staff, and office administration to ensure vacant units are marketed effectively, shown promptly, and occupied by qualified tenants as quickly as possible.
Responsibilities
- Manage residential, commercial, warehouse, and retail vacancies across the company portfolio.
- Create professional online listings with quality photos and compelling descriptions.
- Advertise vacancies across multiple online platforms and social media.
- Monitor and respond promptly to all leasing inquiries by phone, email, and text.
- Schedule and coordinate property showings.
- Work with Building Managers to facilitate showings and property access.
- Conduct in-person and virtual showings where required.
- Follow up with prospective tenants and maintain an active leasing pipeline.
- Process rental applications efficiently.
- Complete reference checks, employment verification, landlord references, and credit/background screening.
- Evaluate applicants according to company policies and recommend approvals.
- Prepare lease agreements and coordinate lease signing.
- Coordinate move-in dates with Building Managers and Property Managers.
- Ensure vacant units are market-ready before advertising.
- Monitor vacancy reports and identify opportunities to improve occupancy rates.
- Track marketing performance and recommend new advertising strategies.
- Maintain accurate records within the property management system.
- Assist with rent increases, renewals, and tenant retention initiatives when required.
- Build positive relationships with prospective tenants, existing tenants, contractors, and staff.
- Represent Rossano Property Management professionally at all times.
Qualifications
- Previous leasing, real estate, or property management experience preferred.
- Strong sales and customer service skills.
- Excellent communication and interpersonal skills.
- Highly organized with strong attention to detail.
- Comfortable managing multiple properties and competing priorities.
- Experience screening rental applications.
- Knowledge of the Residential Tenancy Act of British Columbia is considered an asset.
- Experience with commercial leasing is an asset.
- Valid BC driver's licence and reliable vehicle preferred.
- Strong computer skills including Microsoft Office and online advertising platforms.
- Experience with property management software is an asset.
