Overview
We are seeking an Operations Data Assistant to join our dynamic finance team. The ideal candidate will have a strong attention to detail and high level of accuracy in data processing, and is proficient in Microsoft Excel (VLOOKUP, Pivot Tables, basic data analysis). The Operations Data Assistant will play a crucial role in ensuring the accuracy of invoice and billing records.

Key Responsibilities
1. Vendor Invoice Verification
- Review and verify vendor invoices to ensure services have been completed and billing information is accurate.
- Check invoice details including service scope, quantities, pricing, and supporting documentation.
- Communicate with vendors and internal teams to resolve discrepancies or missing information.
- Maintain organized and accurate invoice records.
2. Customer Billing
- Generate customer invoices based on completed orders and operational data.
- Ensure billing accuracy by verifying order details, pricing, and service completion.
- Support billing reconciliation and assist in resolving customer billing inquiries.
3. Data Processing & Reporting
- Maintain and update financial and operational data records.
- Use Excel tools (e.g., VLOOKUP, Pivot Tables) to manage and analyze data.
- Assist with preparing basic reports related to invoices, billing, and operational transactions.
4. Cross-department Communication
- Work closely with Operations, Account Manger, and Finance teams to ensure accurate billing and data consistency.
- Communicate professionally with vendors and clients when necessary.
Qualifications
Education
- Diploma or Bachelor’s degree in Business Administration, Accounting, Auditing, or related fields.
Skills & Competencies
- Strong attention to detail and high level of accuracy in data processing.
- Proficient in Microsoft Excel (VLOOKUP, Pivot Tables, basic data analysis).
- Good communication and coordination skills.
- Ability to manage multiple tasks and maintain organized records.
- Fluency in Mandarin and English.
Preferred
- Basic knowledge of accounting principles.
- Familiarity with inventory concepts (procurement, sales, and inventory flow).
- Previous experience in invoicing, billing, or data processing is an asset.
